Job summary
We are currently looking for an experienced WORKFLOW ADMINISTRATOR to join our friendly team.
The role is for 30 hours per week, Monday to Friday (6 hours per day with a 30 minute break). We can be flexible with the times between the hours of 8am and 6:30pm.
Medical Administration experience in a GP Practice is necessary for this. Experience of SystmOne is also required.

Main duties of the job
The post holder will be responsible for scanning all clinical correspondence, data entry and processing emails. You must be able to prioritise your own workload.The purpose of this role is to:
- code information accurately into the clinical system
- sort post from reception
- scan clinical correspondence into S1
- match scanned documents to patient records
- task relevant clinical staff for outstanding actions
- maintain a high standard of data quality
- identify and resolve issues with coding
- accurate process high volumes of data
- attention to details and high quality of work is necessary
About us
Maybush Medical Centre is located just on the outskirts of Wakefield city centre and is a busy yet friendly surgery with approximately 9600 patients. We have ample free parking and good local transport links.
The practice operates from newly refurbished purpose-built premise. We are a SystmOne site.
The Practice is an accredited training practice for student nurses, GP's and medical students and offers opportunities to progress and develop, in both clinical and non-clinical capacities.

- Sort and date stamp all incoming mail
- Scan paper correspondence into computer for workflow processing
- Import all electronic correspondence into computer for workflow processing
- Ensure that all correspondence (paper and electronic) is matched to the patient and visible in the patients medical records within a 72 hour timescale
- Read and identify documents that can be:
o Filed with no-actioned; or
o Forwarded to the appropriate team or clinician for actioning
- Code the correspondence in the patient medical record accurately, including diagnoses, procedures and investigations
- Identify urgency of the documents
- Identify complex or higher risk areas that require input or knowledge from the clinical team including safeguarding
- Maintain filing system of paper correspondence, and archive documents within the appropriate time frame
- Review uncollected prescriptions, mark as uncollected and destroyed
- Review uncollected blood form for ICE and shred
- Summarise all new patient records within four weeks of arrival
- Undertake chaperone duties during clinical examinations as required
- Undertake any other additional duties appropriate as requested by Management
