Job summary

Ashcroft Surgery is looking for an additional member of staff to join our Reception / Amin team. The position is part time afternoons, 20-25 hours per week.

Main duties of the job

General Reception duties include booking in patients on arrival for their appointment and making new appointments. Answering the phones. Admin work includes prescription requests dealing with emails and tasks sent by GPs.

About us

We are a busy surgery with a great team from Admin to Clincall.

We have 3 Partners and 3 Salaried GPs, 3 Nurses ,and 2 HCAs with supporting Reception / Admin team.

JOB DESCRIPTION

Job Title: PRACTICE RECEPTIONIST

Responsible to: GENERAL PRACTITIONER/PRACTICE MANAGER/

TEAM LEADER.

This is a responsible position demanding a person of high calibre and integrity.

Flexible working hours are a must for this position depending on the needs of the Practice

DUTIES

1. Restore telephone, switch on computer and printer..

2. Responsible for receiving patients, checking appointments and making

appointments.

3. Extraction of medical records when required.

4. File records away.

5. Register patients and provide information or practice Business card.

6. Maintain age/sex register on the computer.

7. Receive incoming calls and ensure messages are passed on to the doctors or nurses.

8. Record requests for home visits and extract medical records / computer printout ready for doctor.

9. Repeat prescriptions

11. Scan post onto computer system and distribute via Docman

12. Keep reception area tidy for incoming colleagues.

13. Handover information regarding unsolved or urgent problems for next session.

14. Make tea or coffee for doctors and staff.

15. Availability to help in other areas when required.

16. After evening surgery lock away all prescriptions, medical certificates, etc. Switch off computers and printer and initiate the computer links back up programme on the computer in the main office.

17. Action emails that come in to Ashcroft surgery reception and your own NHS emails.

18. Admin tasks as requested by GPs / Emis

19. Any other Ad hoc duties as assigned.

20. Mandatory training is required ie: IRIS, Chaperone, Conflict Resolution, Safeguarding to Level 2

Summarising staff only:

21. Summarise all new patients notes.

Receptionists with extra office duties only:

22. Type clinical letters.

23. Perform any clerical duties under the instruction of the secretary.

  • Very busy reception with constant patient contact both in person and on the telephone
  • Supervision from designated member of staff.

  • Agenda for Change (AFC) Band 2
  • Physical:
  • Neat, tidy appearance- Uniform provided after probation period
  • Clear speech
  • Able to move freely and briskly between desk and filing machine
  • Attainments:
  • Clear legible handwriting
  • Ability to verbally communicate, both face to face and on the telephone effectively
  • Preferably some keyboard skills
  • Special Attributes:
  • Ability to use own judgement, resourcefulness and common sense
  • Ability to recognise and adhere to need for strict confidentiality
  • Disposition:
  • Self-reliant, helpful, friendly, team-worker
  • Circumstances:
  • Within easy reach of the surgery or with reliable transport
  • Reliable and flexible
