Job summary
We
are looking for a part time medical secretary to join our friendly team at
Pennys Hill Practice. You should have previous experience working as a
secretary and an ability to work under pressure.
Applicants
should also have good attention to detail, excellent keyboard skills and also
be a team player. You will be expected to deal with telephone queries as well
as offer general assistance to the practice team.
Whilst
knowledge and experience of the NHS are beneficial, they are not essential and
full training will be given. This is a busy role, and you must be prepared to
cover for colleagues on annual leave or off sick.

About us
We are looking for a Medical Secretary to join our team
here at Penny's Hill Practice. We are based in Ferndown Town Centre in walking
distance to all amenities and the local supermarket. The practice shares the purpose-built
premises with Orchid House Surgery with a range of community services also
being provided from attached facilities.
Pennys Hill Practice is a six-partner practice providing
a range of primary care and community health services from Ferndown Medical
Centre. We run a personal list system for our 6 GP's and have approximately
8000 patients registered with us. We also have 3 practice nurses, 1
Phlebotomist, 1 Phlebotomist / HCA, 2 tracker nurses / HCAs and our reception
team.

To provide general secretarial support to the doctors, practice manager and health professionals, involving word processing and audio typing skills with general clerical work.
Job responsibilities:
- To provide an efficient audio, copy typing and word processing service for GPs and health professionals, and practice manager as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner.
- To assist the practice manager with all clerical and administrative duties.
- To make appointments, bookings and admissions as required.
- To attend meetings and take minutes as required.
- To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
- Scan information into patient records and file correspondence in patient medical records.
- To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
- Checking tasks, notifications and workflow on SystmOne
- To maintain the computer clinic system in an accurate and secure manner.
- To assist with the gathering of statistics and information when required.
- To provide cover for the other member of the secretarial team during periods of sickness and annual leave.
- In liaison with the person responsible, maintain adequate supplies of office stationery in order to perform secretarial duties.
- To co-ordinate and action requests for patient transport through the Practices volunteer group.
- To receive and dispatch mail and maintain a pending system.
- To follow up with 2 week wait referrals in a timely manner.
- Other administrative duties.
