Job summary

Severn View Family Practice is a small-medium sized practice located in Thornbury. We are looking for an enthusiastic and motivated Medical Secretary to join our admin team. Working in an interesting, busy office, you will need to have excellent organisational, communication and interpersonal skills. Proven IT skills and the ability to meet deadlines is an essential requirement. You will be expected to work within a small team with the ability to work alone, maintaining accuracy and prioritising all tasks accordingly. The post holder will need to be competent in audio typing and word. This is a part-time/ job share role- 3 days a week 22.5 hrs.

Main duties of the job

To provide an efficient audio, copy typing and word processing services to all clinicians and health professionals as required. This includes typing letters, reports, patient referrals, minutes etc in an accurate and quality manner. To provide flexible cover for members of the secretarial team during periods of sickness and annual leave.

This role requires the post holder to organise their own workload in accordance with other medical secretaries within the team, taking responsibility to ensure efficiency of the service within the organisation.

Job description

Job responsibilities

Secretarial Duties

  • Typing audio and typing of letters, reports as necessary
  • Submit 2WW Referrals/US forms/other referrals in a time manner
  • Deal with Telephone queries from patients and health care facilities
  • Monitor secretary email and copy clinic letters/responses to patient notes. Send tasks to GP as appropriate.
  • Check worklists on e-referrals and action as necessary.
  • Compose letters on behalf of GPs referral letters to audiology, ophthalmology, fit to fly, blue badge, letters for school/university etc.
  • Help patients with referrals via telephone or in person at reception.
  • Liaise with hospital on behalf of patients by email/telephone
  • Chase clinic letters on behalf of GPs
  • Partially complete forms on behalf of GPs e.g. wheelchair forms, funding applications etc.
  • Email funding applications with supporting information to CCG. Submit further supporting information if requested, liaise with patient when necessary. Inform GP of outcome of funding application/refer patient.
  • Submit MSK referrals on behalf of GPs to Sirona.
  • Action secretary emails
  • Send investigation results when requested by GP to consultant.
  • Telephone/ Text patient to let them know private referral letter/letter ready for collection.
  • Search through patients paper notes when requested by GP.
  • Action Docman tasks & Emis tasks requests for referrals.
  • Monitor Klinik care navigation tool and action any secretary requests.
  • Offer advise & support & training to colleagues and clinicians to support referral pathway.

Desirable

  • RSA/OCR 111WP/ Typing or equivalent
  • ECDL, Clait or equivalent qualification
  • AMSPAR medical secretarial qualification
