Job summary

Severn View Family Practice is a small-medium sized practice located in Thornbury and are looking for a highly motivated facility and workflow administrator to join our back office team.

We are looking for someone who enjoys working in a busy office with excellent administration skills delivering patient centred care to our registered population. The successful candidate will work collaboratively within our back office team and will be happy to 'get stuck in'.

Main duties of the job

We are looking for a candidate who has good administration skills, a natural tendency to empathise, an ability to record accurate messages, who can use their own initiative and maintain confidentiality.

The role will include to assist with the documentation workflow process and a variety of other administration duties. To be the point of contact for the practice team to report any IT faults to the IT support team. To be the point of contact for NHS property services reporting any building faults.

Job description

Job responsibilities

IT

The IT requirements/ equipment is fully supported by NHS SWCSU IT team, the role supports the team within the practice on all areas of IT including:

o Point of contact for all IT upgrades hardware and software

o Sorting and reporting IT issues on behalf of all staff

o EMIS support profile configuration, adding users, searches, templates.

o Managing text messaging services within the practice

o Website

o Remote Access platform for remote working

o Telephone Systems & Operations

o Diagnostic checks/ equipment maintenance- nurse equipment.

o Smart card sponsor

EMIS and Documentation Workflow

Administer all electronic and paper copy documentation workflow.

Action EMIS tasks as necessary

Check lab reports for correctness and process accordingly.

Maintain Organ and blood donor register.

Report on vital statistics extracted from EMIS practice list size, patients per GP, etc.

Provide patient list to retinopathy service.

New and Temporary patient registrations and deductions of patients who have left the practice.

Diabetic register import/ extraction programme lead

Death register- ensure updated daily.

8AZ search in Ardens- follow up tasks list safety net search for patients ensure reviewed and actioned monthly.

Action Econsults / Klinik info onto notes code if required.

GP2GP filing of new patient records including adding medications.

GDPR

Process the Subject Access Request.

Ensure the safe keeping of medical records.

Redacting of patient notes- as needed

Safeguarding redaction of police reports

Buildings Maintenance and compliance-

The health centre building is managed by NHS Property Services, the role is to support the maintenance team as point of contact for the practice

Take the lead on building defects and report to NHSPC through the appropriate channels

Maintain the estate schedule register for building maintenance provided by NHs property services, ensuring building compliance with health & safety laws.

Other

Maintain an up-to-date library of processes for own area of work

Assist team with the admin emails ensure actioned and distributed as required

Assist with the NHS health Checks recall process.

GP2GP filing of new patient records including adding medications.

Support team with any tasks that arise as directed by the Operations lead.
