Job summary
We have an opportunity within our experienced admin/secretarial team to help provide essential administrative support for our GPs and patients. The role incorporates a variety of administrative tasks including typing referrals, booking appointments and completing reports.
We are looking for an enthusiastic motivated person to cover 3-4 days a week within the office at Alconbury Surgery. We are a flexible and supportive employer and have a committed and caring team.
Main duties of the job
Administrative Tasks:
- Process incoming
mail: sort and distribute.
- Deal with correspondence and
typing to meet the needs of the Practice.
- Outgoing mail: place in envelopes,
weigh if necessary and post.
- Use of e-referral to make direct
referrals to secondary care.
- Produce clinic letters, reports,
leaflets, posters, audits, formularies as required.
- Maintain office procedures required
for effective operation of the Practice; e.g. recording and invoicing for
private fees, processing claims for private work, data entry to the
clinical system.
- Dealing with telephone enquiries.
- Liaise with external agencies and
individuals in the performance of the above task. (Hospitals, Trusts,
Health Authorities, GP surgeries, suppliers, solicitors, patients,
coroners, police, ambulance services etc)
- Maintain confidentiality at all times
with due regard to telephone conversations and conversations amongst staff
in public areas.
- Contribute a share of cover to
facilitate the team taking annual leave and/or in the event of other
unplanned absences.
About us
The practice currently has a list of just over 13600 patients which is due to expand to accommodate local housing developments. There are two surgery sites. The main surgery is at Alconbury, five miles north of Huntingdon. The branch surgery (which serves 55% of the practice population) is at Brampton, one mile west of Huntingdon. There are five partners, seven salaried doctors, and up to five GP Registrars. We also host year 4, 5 and 6 Medical Students from Cambridge University.
The Teamis led by the Practice Manager, Melanie Gearing and Deputy Manager Jo-Anne Johnson. They are supported by an experienced admin team consisting of a Management Assistant, eleven Receptionists, four Medical Secretaries and six Dispensers.
Our six Nurse team between them provide a full time treatment room service for both surgeries and are supported by four Health Care Assistants who perform purely technical clinical tasks.
As a member of the A1 Primary Care Network we have a physiotherapist, Clinical Pharmacist and Social Prescriber attached to the Practice to support us in our delivery of care to patients.
