Job summary
This
is a development role suitable for an apprentice, providing the opportunity to
gain skills and experience in operations and finance while completing an
approved apprenticeship qualification. The post-holder will receive training
and support to carry out a range of administrative and organisational duties.

Main duties of the job
The Operations & Finance Apprentice will support the day-to-day running of the practice by assisting with administrative, operational, and financial tasks. This includes helping to process invoices, maintain records, support compliance activities, and contribute to reports and data management. Working alongside experienced staff, the apprentice will gain hands-on experience in business administration and finance while completing a recognised qualification.

Job responsibilities
Support day-to-day operational
functions to ensure smooth running of the practice.
Assist with maintaining and
updating operational logs, including contracts, service level agreements,
insurance policies, and subscriptions.
Support compliance and
regulatory submissions (e.g. CQC, NHS returns, business continuity planning)
under supervision.
Learn to maintain effective
filing and document management systems (electronic and paper).
Assist senior managers with
collecting and preparing operational data for reports.
Learn to process and record
invoices, receipts, and purchase orders in line with practice procedures.
Support the Finance Manager
with basic finance tasks such as spreadsheet updates and monitoring budgets.
Assist with simple
reconciliations and routine reporting under supervision.
Provide basic support with
payroll administration and financial submissions under the guidance of the
Finance Manager.
Assist with the management and
application of clinical templates to ensure business continuity and patient
care.
Provide frontline support to
onsite clinical staff with template-related issues (with training).
Assist in liaising with
third-party providers delivering clinical cover.
Support meeting preparation,
including agendas, minutes, and follow-up actions.
Assist with facilities and
estates management tasks (e.g. utilities, maintenance contracts, equipment
servicing).
Contribute to business
continuity updates and supporting documentation.
