Job summary
We are seeking a friendly, organized, enthusiastic and highly motivated Part Time Receptionist to join our hardworking and committed team. The ideal candidate will have excellent interpersonal skills, the ability to work well under pressure and will be dedicated to providing high quality patient services. Applicants must have excellent IT skills and experience of Systmone is desirable. This is busy reception and applicants must be able to adapt to changes and multi task. This is a part time position (26 hours, over 4 days Mon-Fri) and applicants must have flexibility to cover staff holidays and sickness. Salary depending on skills and experience.
Main duties of the job
Receive, assist and direct patients to access the appropriate service to their needs, by phone and on front desk
Answer phone calls and phone patients regarding appointments, prescriptions, results and other queries
Complete all reception tasks from other clinicians in a efficient professional manner
Liaise with other agencies
Support colleagues & be a team player
About us
We are a small rural dispensing practice on the outskirts of Darlington with 6000 patients. Our Clinical team has 2 GP Partners, 2 Salaried GPs, 2 Nurse Practitioners, 1 Nurse Prescriber, 2 Practice Nurses and a HCA. We aim to provide a comprehensive, accessible, high quality caring healthcare service for our patients.

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
Job Responsibilities:
- Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice
- Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice
- Answer phones in a tiemly manner
- Deal with all general enquiries, explain procedures and make new and follow-up appointments.
- Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Enter requests for home visits onto the computer, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
- Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours.
- Action tasks and e-mails daily.
- Advise patients of relevant charges, accept payment and issue receipts if required.
- Enter patient information on to the computer as required
- Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to
- Ensure correspondence, reports, results etc are forwarded to the secretaries to be scanned so that recent correspondence is available when patients are seen.
- Processing and distributing incoming and outgoing mail
- Ensure the kitchen is kept clean and tidy, also tidy the waiting room in turn with other staff.
- Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.
- When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated.
- Undertake any other additional duties appropriate to the post as requested by the Partners or the Practice Manager.
