We are looking for an experienced and motivated Administrator to join our friendly and busy primary care team.

Main duties of the job

A GP Administrator provides essential administrative support to ensure the smooth day-to-day running of a GP practice. The role involves managing patient records, processing clinical correspondence, coding information from medical letters, and completing tasks assigned by clinicians. The GP Administrator works closely with the clinical and administrative teams to maintain accurate records, support patient services, and ensure all administrative processes are completed efficiently while maintaining strict confidentiality.

About us

We are a GP practice in Hampstead with approximately 13500 patients. We are supported by 3 GP Partners, 6 salaried GPs and a clinical team including Physician Associates, Practice Nurse and Senior Healthcare Assistant.

Job description

Job responsibilities

Administrative Support

Provide administrative support to GPs, nurses, and the practice management team.

Prepare letters, reports, and other documentation when required.

Manage incoming and outgoing post, emails, and internal communications.

Registrations of new patients, obtaining all the relevant information and checks

Process and complete tasks assigned by GPs

File patient prescription requests for the prescribing clerk to process.

Reviewing and clinically coding relevant information from clinical letters into patient records.

Checking 111 reports and booking patient in where required

Medical Records Management

Scan, file, and organise patient documents and correspondence.

Process incoming and outgoing medical records.

Maintain accurate and confidential patient records in line with data protection regulations

Communication and Coordination

Handle incoming telephone calls and respond to patient queries professionally.

Liaise with GPs, nurses, hospitals, pharmacies, and other healthcare providers.

Process test results, and clinical correspondence.

Manage surgery mailbox

Compliance and Confidentiality

Ensure patient confidentiality is maintained at all times.

Follow practice policies and procedures including safeguarding, health and safety, and data protection.

To have a thorough knowledge of all Practice procedures

  • GSCE Level qualifications in English and Maths or equivalent
