Job summary

The Office Administrator is responsible for administrative support within the secretarial and workflow administration teams. This will involve general secretarial support, scanning clinical letters and relevant correspondence onto patient records and coding documents in line with the workflow template and protocols. This is a full time role for 37.5 hours a week worked over Monday to Friday, however we will accept a job share. This rolewill require both morning and afternoon working.

Main duties of the job

The main responsibilities will be filing correspondence in both paper and computer form, receiving and initiating telephone calls, dispatching post for the practice, scanning clinical letters and using document workflow protocols to read-code incoming documents onto patient records and complete any necessary actions. It also requires completing referral requests to local services, answering secretarial queries and general administrative support for the GP team.

This post requires an individual who is computer literate with excellent organisational skills, an ability to work well within a team and to be self-motivated.

About us

The Grove Medical Centre is a large GP Practice with around 13,000 patients currently registered. We have a team of over 80 people on site, plus external teams that we regularly liaise with - community matron, district nurses, midwife and health visitors, to name just a few.

Job summary:

Job responsibilities:

  • To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner.
  • To maintain the referrals systems in place, ensuring that all patient referrals are managed appropriately and in a timely manner including chasing unacknowledged referrals from other providers.
  • To support patients who have queries with their hospital referrals where the hospital is not able to help them directly.
  • To make appointments, booking and admissions as required, including any related correspondence.
  • To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
  • To retrieve medical records and assist the GPs in the completion of medical and insurance reports, creating invoices from the fee items list in the accountancy system as required.
