Medical Receptionist /Care Navigator

Main duties of the job

Duties of the role are:

a. Provide a warm, supportive, and safe welcome to all patients during the practices core operating hours

b. Process and effectively signpost patients to the appropriate healthcare professional, depending on the presenting condition.

c. Follow instructions from the Triaging GP to accommodate and support patients in their requests to the practice, in a timely manner to ensure patients are given appropriate care.

d. Collect relevant health data from patients and pass to relevant health practitioner.

e. Answer incoming phone calls, transferring calls or dealing with the callers requests appropriately.

f. Process patient requests for appointments.

g. Process repeat prescription requests.

h. Initiate contact with and respond to requests from patients, team members and external agencies.

i. Enter accurate read codes data on SystmOne when directed.

j. Data entry of new and temporary registrations and relevant patient information as required.

k. Input data into the patients healthcare records as necessary

Job description

Job responsibilities

The following are the core responsibilities of the Receptionist. There may be, on occasion, a requirement to carry out other tasks; this will be dependent on factors such as workload and staffing levels.

a. The reception team provides a warm, supportive, and safe welcome to all patients during the practices core operating hours

b. Process and effectively signpost patients to the appropriate healthcare professional, depending on the presenting condition.

c. Follow instructions from the Triaging GP to accommodate and support patients in their requests to the practice, in a timely manner to ensure patients are given appropriate care.

d. Collect relevant health data from patients and pass to relevant health practitioner.

e. Answer incoming phone calls, transferring calls or dealing with the callers requests appropriately.

f. Process patient requests for appointments.

g. Process repeat prescription requests.

h. Initiate contact with and respond to requests from patients, team members and external agencies.

i. Enter accurate read codes data on SystmOne when directed.

j. Photocopy documentation as required.

k. Data entry of new and temporary registrations and relevant patient information as required.

l. Input data into the patients healthcare records as necessary

m. Direct requests for information, e.g., SAR, insurance/solicitors letters and DVLA forms, to the administrative team

n. Manage all queries as necessary in an efficient manner.

o. Carry out system searches as requested.

p. Maintain a clean, tidy, effective working area at all times.

q. Monitor and maintain the reception area and noticeboards.

r. Support all clinical staff with general tasks as requested.

s. Undertake all mandatory training.

t. Attend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress may be reviewed on a regular basis so that new objectives can be agreed.

u. Contribute to public health campaigns (e.g., flu clinics) through advice or direct care

Secondary responsibilities

In addition to the primary responsibilities, the Receptionist may be requested to:

a. Participate in practice audit as directed by the audit lead.

b. Support administrative staff, providing cover during staff absences.

c. Action incoming emails when necessary

d. Scan patient-related documentation and attach scanned documents to patients healthcare records.

e. Complete opening and closing procedures in accordance with the duty rota.

f. Process requests for repeat medications as per practice protocol

g. Order and monitor stationery supplies

h. Reception staff may from time to time be called upon to chaperone during a patient examination. Only reception staff who have completed relevant chaperone training are permitted to chaperone and must remain professional at all times. Staff must ensure the medical record is coded in a timely and accurate manner documenting attendance at the examination.
