Job summary

As Deputy Practice Business Manager you will be a key element in the support and running of one of the largest Practices in Calderdale. The role is varied and dynamic and provides a great opportunity to make a difference both to your team of staff, and the patient population.

Main duties of the job

To be a valued member of the management team involved in all aspects of running a busy Practice. To deputise for the Practice Business Manager in their absence or by delegation as agreed. Including functions such as:-

Performance Management,

Financial Performance,

Information Governance,

HR and staff management,

Complaints and Significant Events,

Compliance,

Business Continuity

Direct responsibility for management of areas as agreed such as Finance, IT, Operations, Rotas, management, supervision, training and developing of staff.

Job responsibilities

Job purpose • To deputise for the Practice Business Manager in their absence or by delegation as agreed. To include- Performance Management, Financial Performance, Information Governance, HR and staff management, Complaints and Significant Events, CQC Compliance, Business Continuity • Direct responsibility for management of areas as agreed such as Finance, IT, Operations and Rotas. • To be responsible for the management, supervision, training and developing of a team of non-clinical staff. Principal Responsibilities • Reporting to Practice Business Manager • With the Practice Business Manager, and as a part of the management team, implement and maintain systems which ensure appropriate staffing and skill mix • Oversee the running of day to day functions of the Practice • To initiate operational service changes in response to emerging issues • To be involved with daily duties so as to maintain an understanding of problems and issues on the ground • To operate as a member of the management team with shared responsibility for the Practice in the absence of or alongside the Practice Business Manager • Involved with recruitment of staff, assist with training and carrying out a development review after their probationary period • Management and development of assigned team to include inductions, training & mentorship and supervision of all members of the team and others as appropriate • To monitor performance on a regular basis and take any action that may be required to ensure that the required standards are met. • To assist with developing and implementing new procedures and changes to working practices. Disseminate and ensure that staff are following Practice policies and procedures

  • Educated to degree standard or able to demonstrate equivalent experience

Desirable

  • Training and experience of accounting software.
  • Finance qualifications.
  • Management or business qualifications.

Experience

Essential

  • Experience of management of staff in a number of disciplines.
  • Demonstrable knowledge and experience of GDPR, Freedom of Information Act and Caldicott Guidance.
  • Evidence of the ability to make judgements in management role.
  • Evidence of ability to re-organise workload due to unexpected events.
  • Experiencing managing and troubleshooting IT for a team/organization.
  • Experience of data analysis and interpretation.
  • Excellent written communication, particularly to wide staff groups.
  • Excellent report writing skills.
  • Excellent presentation skill.
  • Proficient in use of Microsoft Office.
  • Acts with professionalism and integrity at all times.

Desirable

  • NHS experience.
  • An understanding and experience of NHS performance management.
  • Experience of audit.
  • Management experience in Primary Care or General Practice.
  • Experience of financial processes including payroll, ledgers, reconciliation, forecasting and budgeting.
