We are looking for a positive person to join our friendly patient Services Team and help provide high quality customer service to our patients at Hailsham Medical Group

Main duties of the job

Greet patients warmly and assist with check-in and check-out procedures

Answer phone calls and respond to patient queries as necessary

Work with Anima Triage to assist patients in their request for appointments

Hailsham Medical Group is an established practice serving some 11500 patients in the expanding market town of Hailsham. The successful candidate will be joining a forward thinking and well supported patient service team. We have a large clinical team comprising of GP Partners, Senior Clinical Pharmacist and Partner, Salaried GPs, Allied Healthcare Professionals, Practice Nurses, Nurse Associate, Health Care Assistants and Phlebotomists.

Patient Services Job Description/Person Specification

The Patient Services Team Member is the first point of contact for patients in a primary care setting. This role provides high-quality customer service, supports efficient clinic operations, and ensures a positive experience for patients through excellent communication, coordination, and administrative support.

Key duties and Responsibilities

Patient Reception & Customer Service

  • Greet patients warmly and assist with check-in and check-out processes.
  • Answer phone calls, respond to patient inquiries, and route calls appropriately.
  • Maintain a professional, welcoming environment in waiting areas.
  • Provide clear information on clinic protocols, appointment procedures, and available services.

Scheduling & Coordination

  • Working with Anima Triage to assist patients in their request for appointments
  • Notify patients of test results, follow-up appointments, or required paperwork (as directed by clinical staff).

Administrative & Operational Support

  • Process payments from patients for insurance reports, letters and forms
  • Maintain accurate patient records in the electronic health record (EMIS) system.
  • Support daily operational tasks such as mailing, and data entry.

Collaboration & Compliance

  • Work closely with clinicians to support seamless patient flow.
  • Assist with quality improvement initiatives and patient satisfaction efforts.
  • Support onboarding and training of new team members.

Require Skills & Qualifications

  • Good standard of education
  • Practical experience of working with others
  • Strong communication, interpersonal, and problem-solving skills.
  • IT and Keyboard skills
  • Ability to multitask in a fast-paced clinical environment.
  • Calm, professional demeaner and patient-centered attitude.

Preferred Qualifications

  • Experience in primary care setting
  • Knowledge of medical terminology.

Physical & Work Requirements

  • Ability to sit for extended periods

Working hours

Shifts are 8am-1pm or 2pm to 6.30pm

Full time 37 Hrs

Part time 20 hrs
