You will receive and help patients in accessing the most appropriate services in a courteous, efficient and effective way.
You will provide administrative services and present a positive and friendly image to all that visit the practice.
Main duties of the job
Receiving patients and dealing with all of their queries at the front door and reception desk.
Working in our telephone hub area taking and processing incoming calls.
Process appointment requests using a telephone triage system and for those that also attend in person.
Deal with home visit requests.
Deal with payment from patients for medicals and other sundry items
Open the post and distribute accordingly
Scanning documents into patients medical records
Registering new patients onto the clinical system
Process address changes
Work in accordance with all practice protocols
Any other tasks allocated by your Manager
About us
Hailsham Medical Group has an exciting opportunity for a Receptionist/Admin to join our very busy, and friendly practice.
You will join our team of 5 GPs including 2 long-term Locums, Paediatric Nurse Prescriber, Mental Health Nurse Prescriber, 2 Paramedic Practitoners, 3 Practice Nurses, 3 Health Care Assistants and 2 Carecoordinators who work extremly hard in providing GMS services to 12,000 patients in this busy market town.
We are a teaching practice with a regular allocation of trainees.

- · Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.
- · Deal with enquiries from patients, pharmacies, district nurses, etc. regarding prescription’s, promptly and efficiently and ensuring that any action required is taken and that everyone is kept informed of what is happening.
- · Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
- · Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- · Scanning of documents into patient records as required.
- · Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of details and prompt appropriate delivery.
- · Enter requests for home visits onto the clinical system, ensuring careful recording of all relevant details and where necessary refer to the ‘usual’ doctor.
- · Enter patient information on to the computer as required.
- · To be able to work independently using your own initiative based on your knowledge and experience in support of the Reception Team, ensuring that daily tasks and ongoing workloads are prioritised and completed in agreed timeframes which must be of a consistent and high quality standard.
- · Advise patients of relevant charges for private (non-General Medical Services) accept payment and issue receipts for same.
- · To react in a positive and appropriate manner to those patients who are either dissatisfied with the service and where necessary passing onto the appropriate member of staff to deal with.
- · Deal with confidential matters and maintaining confidentiality at all times.
- · To present a positive image of self and of surgery by being welcoming and maintaining a professional attitude at all times.
- · To be an active and supportive member of the team, punctual and well presented.
- · Ensure that the waiting room is left tidy.
