Job summary

If you are looking for an exciting new chance to make a real difference, we have a fantastic opportunity for an individual to join the OneNorwich Practices vaccination team.

This is an exciting opportunity to join the roving team, which forms an integral part of the Primary Care Network, providing immunisation to mainly housebound and care home patients across Norwich.

The service operates between 8am - 6pm Monday - Friday

Main duties of the job

As an administrator for immunisations, the post holder will work as part of a dynamic team in delivering a safe and effective service for the delivery of vaccinations for COVID-19 vaccine(s).

The post holder will help organise, plan and arrange clinics.The post holder will operate in a fast-paced environment that is part of a multi disciplinary team.

You will be the first point of contact for the service onsite at a vaccination centre and provide administrative support. The successful post holder will be required to have customer service experience and must be IT literate with the ability to learn new systems and software packages quickly.

A. Data & Admin Duties:

Keep care home and home visit vaccination spreadsheets up to date

Run searches on SystmOne for patients eligible for vaccination

To add ledgers to SystmOne for Nurse appointments

Highlight special notes on Nurse ledger

Call patients and book appointment on SystmOne

To document declined vaccines in SystmOne

Manage the covid mailbox queries

Keep staff rota and competencies spreadsheet up to date

Keep cool box monitoring spreadsheet up to date

Highlight safeguarding issues to relevant safeguarding lead

Manage and prioritise own workload

Return completed spreadsheets to relevant Gp practice

B. Operation of Telephone Systems:

Telephone and liaise with care homes and housebound patients to arrange Nurse visits

To liaise with vaccination team staff throughout the day to ensure safety

To deal with any queries from Nurses

Ensure that patients on the mop up list are called when their vaccine is due

Receive calls from Gp practices and patients regarding the vaccination service

Attend relevant Teams meetings

G. Other:

Ensure security of data and information in accordance with the Data Protection Act, the practices policies and procedures and other legislation.

Promote and maintain own and others health, safety and security, in accordance with legislation and the practices health and safety and security policies.

Support the equality, diversity and rights of patients, carers and colleagues to include:

Acting in a manner that recognises the importance of peoples rights, interpreting them in a way that is consistent with the practices procedures, policies and current legislation.

Respecting the privacy, dignity, needs and beliefs of patients, carers and colleagues.

Behaving in a manner which is welcoming to and of the individual: is non- judgmental and respects their circumstances, feelings, priorities and rights.

Participate in the practices staff appraisal system.

Undertake any other duties that are considered to be appropriate to the post.
