MSK Administration Assistant / Referrals Co-ordinator

Job summary

This is a split role, compromising of the half the week in each role. The role is based at our new site in Ilkley, Drill Hall Business Centre, which is admin offices only (no clinical staff). Shift pattern will be 10am-6pm Monday - Friday with a 30 minute unpaid break.

Main duties of the job

The role of MSK Administration Assistant will focus on the processing of incoming and ongoing referrals to the service and booking appointments. The role of Referrals Co-ordinator will focus on the processing of outgoing referrals by clinicians to secondary care and dealing with related queries and safety netting.Previous applicants need not apply.

About us

IG Medical is situated in West Yorkshire with sites at Ilkley and Grassington. Our patient list is approximately 18,000.

Our clinical team includes 5 GP Partners, salaried GP's, 1 Advanced Clinical Practitioner, 2 First Contact Physiotherapists, 2 Advanced Nurse Practitioners, and our nursing team consists of Practice Nurses and Health Care Assistants. All supported by our hardworking Managers, reception and administrative teams. IG Medical also runs the Airedale and Bradford Musculoskeletal service.

The Airedale and Bradford Musculosketal service aims to see new patients with 6 weeks. Clinic locations are based at 6 GP practices within this locality. The highley trained team of experienced clinical professionals are able to treat and diagnose a range of conditions relating to bones, soft tissues, muscles, joints and ligaments. Diagnostic tests and treatment such as joint injections, radiology and pathology are able to be carried out also.

Job responsibilities

The following are the core responsibilities of the MSK Administration Assistant. There may be on occasion, a requirement to carry out other tasks and this will be dependent upon factors such as workload and staffing levels;

a) Processing incoming referrals in line with current Protocols

b) Processing ongoing referrals for follow up in line with current Protocols

c) Answering queries via the telephone system

The following are the core responsibilities of the Receptionist role. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

a) Provide a comprehensive medical secretarial service to the GPs/other clinical staff

b) Communicate sensitively and effectively with a wide range of people including; patients, external medical departments and colleagues

c) Liaising with hospital and community departments regarding appointments, results and referrals

d) Type letters, reports and other documents

e) Type private letters, referrals and reports

f) Using the e-Referral service

g) Ensure telephone enquiries are dealt with in a courteous and timely manner and take messages as appropriate

h) Maintain ongoing tracking and appropriate documentation on referrals to promote team awareness and ensure patient safety

i) Action tasks as required

j) Monitor progress of 2 week cancer referrals and follow these up as required

k) Deal with and log any referral rejections daily

l) Dealing with enquiries via email

m) Provide clerical assistance to practice staff as required
