Job summary

We are looking for a new member of our Reception Team, to cover 5 shifts (Monday to Friday, 13.10 pm - 18.40 pm), working in a dispensing 18,000 patient general practice. The surgery is based in a new purpose built health centre in the market town of Frodsham. Successful applicant will be eligible to join NHS pension scheme, and will be provided with a uniform.  5.6 weeks annual leave, inc bank holidays  (pro rata for part-time staff).  There may be an expectation to work longer hours in the future.

Main duties of the job

Meet and greet. Issuing paperwork to patients eg prescriptions, letters, sick notes etc. Issuing medication, taking payments in both cash and card etc. Completion of spreadsheets. Answering patient queries by telephone. Booking appointments for GPs, nurses, physios etc Completing requests from various members of the team via various electronic means. Stock checking clinical rooms.

We are a large general practice with 18,000 patients, with a large supportive team of 70, including clinical and non-clinical staff. CQC rated "good".

Job responsibilities

Specific Duties

To ensure an effective and efficient reception is provided to patients and any other visitors to the practice.

Deal with all general enquiries, explain procedures and make new and follow-up appointments. Using your own judgement and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.

Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.

To undertake Liaison role as per the rota

Receive and make telephone calls as required. Divert calls, take messages ensuring accuracy of detail and prompt appropriate delivery.

Enter requests for home visits on to the computer ensuring careful recording of all relevant details.

Action urgent prescription requests.

Manage surgery workflow using various systems.

Advise patients of relevant charges for private, non-general medical services. Accept payment and issue receipts for same where required.

Enter patient information on to computer as required. Using the Computer

Accessing the computer for the purposes of extracting registration details, path results, medication information and referral data.

Finding details of immunisations and health promotion and medical reports if required.

Inputting data as requested if required.

Using EMIS/Docman to book a patient appointment and learning the various tasks involved with computerised appointment. Administration

To have a thorough knowledge of all practice procedures

To work in accordance with written protocols

When required making sure medical records are updated

Knowing the purpose of various forms and where they are kept, e.g. temporary resident, new patient forms, change of address forms

General housekeeping

Training new members of the team where specified Reception

Receiving patients

Consulting with members of the practice team

Handing completed repeat prescriptions to patients, checking names and addresses

Managing payments for our dispensing patients

Be able to cover all reception positions as necessary

Make adequate notes to pass on accurate messages

Coping with requests which are made for appointments, visits, collection of prescriptions, letters or messages left or to be left

Process appointment requests for current and future appointments either by telephone or face to face
