Job summary

Helsby Street Medical Centre is quite a large GP Owned Practice (Partnership) with a current list size of approximately 8,400 patients including a wide range of ages, social backgrounds and chronic disease management. We are looking for the right candidate to join our friendly and welcoming admin/reception team.

We are looking for someone who is available to work Monday, Wednesday and Friday preferably with additional flexibility to cover annual leave and sickness however this can be discussed at interview stage.

Part time hours up to 24 hours per week available.

Main duties of the job

Your role will include engaging with patients either via telephone or face to face, offering and booking appointments, admin duties such as reception, scanning, prescriptions and other general admin duties as required. All necessary training will be provided on commencement of your employment.

About us

Our team consists of four partners, salaried GP and GP Registrars Foundation trainees, two Practice Nurses, Health Care Assistant and the Admin Staff. We are a friendly and professional team working together to provide patient centered care.

Job description

Job responsibilities

Summary

To work as part of the reception team ensuring that surgeries and clinics run smoothly and efficiently at all times.

To provide support and assistance to GP's, Nurses and Practice Manager, liaising with all other members of the admin team in the delivery of a high quality service to patients.

Description of Duties

1. To respond to all patient / other customer requests, by telephone or in person directing them to the appropriate person where required.

2. Liaison with other outside agencies as and when required which may include, NHSE, Warrington Primary Care Trust, and Ambulance Control etc.

3. Receive and direct calls operating an efficient messaging system for all other members of staff.

4. Operate the computer system in order to make appointments for patients, organise repeat prescriptions and requests for home visits.

5. Receive and direct any visitors who may attend the Practice operating the visitors book and badge system.

6. Inputting data on the computer system as and when required and also through the scanner on a daily basis, making the relevant checks for accuracy.

7. Ensure that all patients complete the appropriate forms on registration in advance of consultation with a GP or Nurse, entering all relevant details in the registration book.

8. Ensure that temporary residents wishing to register complete the appropriate forms prior to consultation with a GP or Nurse.

9. Extract and re-file patient records as and when required.

10. Identify any discrepancies where possible concerning patient records, investigating and amending them as appropriate.

11. Ensure the correct filing of patients records including hospital letters when necessary.

12. Maintain the records are in good order replacing envelopes as and when required, and volumizing records when appropriate.

13. Receive, check and sign in any goods received, taking receipt of the delivery note and notifying the appropriate member of staff. All delivery notes go to the Practice Manager.

14. Receive incoming mail from all areas, I.e. Royal Mail and internal mail ensuring the correct administration is done and directing to the appropriate person where necessary.

15. Ensuring the appropriate collection of blood, internal mail and clinical waste is carried out according to relevant guidelines and protocols. Checking that samples are correctly labelled where possible.

16. Attend staff / team meetings and any relevant training courses as discussed with the Practice Manager.

17. Ensure out of hours procedures are carried out morning, evening and lunchtimes where necessary.

18. Various start of day tasks required including switching the alarm off, opening rooms, cupboards, drawers etc and switching on computers in preparation of the day ahead.

19. Ensure a tidy and secure environment at all times in particular at the end of the day. GP consulting rooms tidied after morning sessions in preparation for the afternoon.

20. Help to ensure where possible that the patients waiting area is welcoming and that their stay is a pleasant one, paying particular attention to lighting and ventilation, operating within a health and safety environment.

21. Individuals may be asked to support rescheduled workload in the event of colleagues absences for either annual leave or sickness, sometimes at short notice as directed by the Practice Manager.

22. Ensure that any new procedures are written up and passed to the Practice Manager for inclusion in the policies and procedures file.
