Job summary

Call Handler

To promptly answer the telephone, book appointments and to assist and direct patients in accessing services.

Undertake any role related directions from Line Managers.

Main duties of the job

  • Receive and make telephone calls as required
  • Deal with all general enquires in a helpful manner

  • Ensure an effective and efficient reception service is provided to patients and other visitors to the practice.
  • Use of computerised medical system
  • Maintain working knowledge of the appointment system
  • Communicate test results
  • Have knowledge of repeat prescribing procedures
  • Scan documents.
  • Advise patients of charges for private work
  • Explain arrangements for new and temporary patients
  • Franking of out-going mail and delivery to the post office
  • Completion of blood request forms
  • Allocation of rooms for clinical team
  • Processing/distributing incoming mail
  • Updating medical records correctly
  • Cover the branch surgeries in St Athan and Rhoose as required
  • Premises:
    • Open up premises at the start of the day when first to arrive.
  • Undertake any other additional duties appropriate to the post as requested line managers/partners
  • Actively participate in Practice Training

The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the Practice Health & Safety Policy, to include:

  • Using personal security systems within the workplace according to Practice guidelines
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Reporting potential risks identified
