Job summary

We are a friendly, busy, rural, dual-site practice serving approx. 9,100 patients in the catchment areas of Reepham and Aylsham in Norfolk. Our vacancy is for a part/full time Clinical Administrator with enthusiasm and commitment to provide exceptional customer care to our patient population. Applicants should be motivated, flexible and able to travel between the two sites.

Previous experience of working in a GP surgery or medical setting is essential with an understanding of medical conditions and coding to support our clinical administration team.

There will also be a requirement to use the Practice IT systems.

Prescribing/dispensary knowledge would be desirable or willingness to develop career to include this.

Main duties of the job

To provide administration support to clinical staff, communicate between patients, all members of the practice team and outside agencies in a busy practice. Actively contribute to the achievement of practice objectives and ensure relevant CQC (Care Quality Commission) standards are maintained.

Experience in General Practice or similar environment To be able to review and read code all clinical correspondence and provide support to the clinical team in dealing with pathology, patient clinical enquiries, GDPR requests, supporting the dispensary team and dealing with all day to day clinical documentation.

As a GP Surgery we treat all minor illness and medical conditions and refer patients to hospitals and other medical services for urgent and specialist treatment. We focus on the health of the whole person combining physical, psychological and social aspects of care and have a large clinical and administrative team who support patients and staff to enable us to provide this care. Job responsibilities

The Care Coordinator responsibilities include but are not limited to the following:

Managing all processes relating to Multi-Disciplinary Team activities i.e., coordinate meetings, administrate and record all decisions/actions as appropriate and maintain database register

Management of all processes relating to PCN e.g., projects, communication, targets, IT (Ardens Manager & Care Navigator templates), staff HR, and meetings

Management of all patient services relating to job role

Preparing agendas for and chairing meetings relevant to team/job role

Managing all zero tolerance communications and actions with/to patients and external agencies as appropriate e.g., removal from patient list

Administration and reporting on IIF targets - tracking & sharing with wider team all aspects of targets set. Maintenance of processes, coordination of practice response and liaison with PCN as required

Management of all processes relating to all significant events, complaints, concerns, and compliments including full and proper investigation, response, escalation, recording and sharing as appropriate

Full administrative support for all safeguarding processes including (but not limited to):

o Communication with all involved parties e.g., Safeguarding Team, MASH

o Clinical record data entry

o Clinical System reporting

o Contribution to policy, protocol, and template developments

o Attend meetings relating to this role

All staff are required to:

Initiate contact with and respond to requests from patients, team members and external agencies as appropriate to their job role

Maintain a clean, tidy, and effective working area

Contribute to public health campaigns (e.g., flu clinics) through advice or direct care

Support new members of staff on an as required basis

Any additional work reasonably requested by GP Partners and/or Senior Management

  • Experience of working with healthcare professionals and or previous experience in the NHS or social care or relevant field.
  • An appreciation of the nature of GPs and general practice. An appreciation of the nature of primary care prescribing.
  • An appreciation of the new NHS landscape including the relationship between individual providers, PCNs and commissioners Experience and an awareness of common acute and long-term conditions that are likely to be seen in general practice

Desirable

  • In-depth therapeutic and clinical knowledge and understanding of the principles of evidence-based healthcare
  • Understanding of the mentorship process
  • Understanding of the implications of national priorities for the team and service
