Job summary

Hicks Group Practice is offering an exciting opportunity for a receptionist/Administrator to join our friendly and supportive team. They will work over both sites, Charles Hicks Centre, Huntingdon and Roman Gate Surgery, Godmanchester serving a patient population of 17,050 and growing due to new developments in the local area.

We are pleased to announce an exciting opportunity for you to join our friendly reception team. We are looking for someone who would like a minimum of 34 hours per week. You will be working set hours between the hours of 8:00am -6pm, however flexibility will be required. Starting rate of pay is £11.75 and rises to £12.01 per hour on completion of 6 month probationary period and assimilation of the role prior to any increments.

We are looking to recruit a flexible, enthusiastic and motivated person with good communication skills to join our established team. With a pleasant telephone manner, good customer service skills. The ability to work under pressure and prioritise workload is essential.

Candidates should be courteous, polite and business like. You must be able to work efficiently and effectively in a very busy primary care environment. Experience of working in general practice/NHS and on SystmOne is preferred, but training will be given to the right candidate.

Main duties of the job

The receptionist represents the practice, the role is diverse and demanding. The receptionist not only books patients into reception, but they signpost patients to the correct staff member to help, direct patients to other services, as well as pass messages from the clinical team to the patients, and vice versa.

Requires someone with customer service experience and capable of multi-tasking, who thrives on a busy and high pressure environment.

About us

The Practice has been in existence, in various forms and in various buildings, since 1821. The Charles Hicks Centre was built in 1987 and extended in 1992. The Roman Gate Surgery replaced premises in Old Court Hall and was occupied in February 1994, and extended in 2020.

We have 6 partners, and 4 salary GPs. We also have a team of Advanced nurse practitioners, practice nurses, and health care assistants who all help us to provide safe, caring and high quality services to our patient population.

The practice is a training practice, training the GPs and nurses of the future.

The clinical team is supported by a strong administrative and reception team, where we all work harmonilously to provide the best care for our patients.

Job responsibilities

Job Summary

The post holder will provide an efficient and professional point of contact for patients and visitors. To act as focal point of communication between patients, clinicians, practice and community staff. This post has no supervisory, managerial or budgetary responsibility.

Specific Responsibilities

To receive patients in a friendly, polite and courteous manner and provide relevant information.

Utilise the SystmOne system either by face-to-face or by telephone contact to ensure the efficiency of the appointment system and to monitor the flow of patients into the consulting and treatment rooms. To explain and show all patients how to use the automatic booking in system.

To explain practice arrangements and formal requirements to all new patients and those seeking temporary cover, ensure that the correct procedures are adhered to.

Respond promptly to all queries and requests for assistance from patients and visitors.

To book all temporary visitors into and out of the practice.

To deal with SystmOne tasks as received from Doctors/Nurses/Admin staff.

When necessary, operate the stair lift to take patients to the first floor for their appointment (this applies to Roman Gate only)

To scan all patient documentation in to the patients clinical record, ensuring that great care is taken in doing so.

To run all patient summaries off SystmOne for patient visits or as directed by the Doctor.

To ensure that all complaints about services provided are directed to either the Reception Manager or the Assistant Practice Manager.

Transfer the telephones over to the emergency system in accordance with practice policy.

At the end of the day to tidy the waiting and childrens play area.

To conduct a close down of the practice and ensure proper security proceeds are in place before exiting the building.

Reception/Patient Waiting Area

To ensure on a daily basis that the area is kept both clean and tidy. Report any areas which need cleaning to the Reception Manager.

To tidy and control all patient reading literature and leaflets.

To ensure that the childrens play area is kept tidy and that the toys are wiped over on a monthly basis. Throw away any toys which have become unsafe/damaged.

To keep all plants in the area in a healthy state.

To check that all the information on the notice boards is relevant and up-to-date.

All plants are watered and kept clean and in good condition.

Building

To secure the premises at the end of the day, usually 18:15 and ensure the building is totally secured including all lockable exits are locked, lights turned off and the alarm activated when necessary. If working on a late night surgery, the practice will close at 20:15.

Personal Qualities

The post holder will have regular contact with the public and will enjoy helping people of all ages and backgrounds. An outgoing personality, patience, tact, stamina and good communication skills as well as a high commitment to team work and a flexible approach to work is essential.

Confidentiality

The post holder must maintain the confidentiality of information about patients, staff and other health service providers at all times. The work is of a confidential nature and information gained must not be communicated to other persons except in the recognised course of duty.

Flexibility

This job description is intended to provide an outline of the main responsibilities only, the post holder will need to be flexible in developing the role and work closely with the Reception Manager.

Skills and Qualifications

Basic numeric and literacy GCSE/GCE or equivalent Computer literate

Smoking

The post holder must be aware of the responsibilities placed on them under the Health and Safety at Work Act (1974) to ensure that the agreed procedures are carried out to maintain a safe environment for patients, visitors and staff.

Other Information

The post holder will work at both Charles Hicks Centre and Roman Gate Surgery. The job description will change by mutual agreement, in such instances the post holder will be issued with an amendment or given a new job description.
