Job summary

Hicks Group Practice is offering an exciting opportunity for a Medical Administrator to join our friendly and supportive team. They will work over both sites, Charles Hicks Centre, Huntingdon and Roman Gate Surgery, Godmanchester serving a patient population of 17,050 and growing due to new developments in the local area.

We are looking to recruit an enthusiastic and motivated individual to join our very busy and supportive admin team. You will need to have good communication skills and be responsive to the needs of the clinical team. With the ability to work independently, with a high degree of accuracy and confidentially as part of a team liaising with colleagues of all levels.

You will be working set hours Mon 1pm-6pm, Tues & Friday 8am-6pm,Thurs 8am-1pm a total of 28 hours per week, however flexibility will be required. The starting rate is £11.75 rising to £12.01 following full assimilation of the role, with a 6 month probationary period.

Main duties of the job

The applicant will be key in delivering a high standard of care to our patients by working across the whole of the administration department. The role will be to predominately support our prescription team, coders and care co-ordinator.

The role will include issuing repeat medications, loading clinic letters, coding and forwarding letters to the clinical team. Monitoring patient recall systems, auditing and initiating data quality improvements. Working both independently and as part of a team.

About us

The Practice has been in existence, in various forms and in various buildings, since 1821. The Charles Hicks Centre was built in 1987 and extended in 1992. The Roman Gate Surgery replaced premises in Old Court Hall and was occupied in February 1994, and extended in 2020.

We currently have 6 partners, 4 salary GPs, 3 Advanced Nurse Practitioners, Practice Nurses and Health Care Assistants that make up our clinical team. They are supported by a strong reception and administrative team. All staff work over both sites, treating patient with dignity respect and high quality care. We provide a safe and caring environment not only for our patients but our staff too.

We are part of the Huntingdon Primary Care Network (PCN) which provide the Huntingdonshire patients with additional services for example First Contact Physio, Clinical Pharmacists, and Health and Well being coaches.

Job Summary

The practice is looking to expand our administrative team to provide support for our ever growing practice patient list. The applicant will be key in delivering a high standard of care to our patients by working across the whole of the administration department. The role will be to predominately support our prescription team, coders and care co-ordinator.

Main Duties/Key Tasks

a. Issue repeat medication from patient requests

b. Load/amend medication from clinic letters

c. Ensure patient monitoring is up to date and recall patients appropriately

d. Run prescribing audits and liaise with the clinical team

e. Read code information from clinical correspondence onto the patients medical records.

f. Reviewing medical records and producing an accurate summary of the patients medical history.

g. Read Code the information into the practice clinical system.

h. Monitoring patient call and recall systems.

i. Filing and retrieving paperwork.

j. Scanning of letters and relevant correspondence into patients notes.

k. Summarisation of patients notes when requested.

l. To ensure the efficient running of the practice computer system, carrying out searches, audits and recalls as required by the doctors, nurses and manager.

m. Recall patients for month of birth long term condition reviews

n. Arrange, attend and minute safeguarding & palliative care meetings

o. Maintain a list of adults and children of safeguarding concern

p. Action information requests for safeguarding patients.

q. Pro-actively initiate data quality improvement projects.

r. Set up and run clinical searches.

s. Ensure security of data at all times.

Competencies

a. Sound knowledge of Windows and MS Office (Excel & Word)

b. Awareness of data security requirements.

c. IT literate (CLAIT or equivalent qualification).
