Main duties of the job
Main duties include:
- Managing the movement of physical medical records to and from PCSE.
- Changing address and contact details for patients.
- Care home and new baby patient registrations.
- Patient deductions.
- Managing online services requests.
- Referrals deputy.
- Supporting the admin supervisor with private medical work.
- Monitoring DNAs (patients that do not attend their appointment).
- Holiday/sickness cover for other members of the admin team.

Job responsibilities
- Managing the movement of physical medical records to and from PCSE.
- Changing address and contact details for patients.
- Patient registrations (care home residents and new babies).
- Actioning electronic GP links and tasks/admin associated with registration of new patients.
- Ensuring deceased patients or patients leaving the practice are deducted from SystmOne in a timely and accurate manner including actioning electronic GP links and tasks/admin associated with deduction of patients.
- Ensuring relevant consent/access to medical records and LPA forms are scanned on and records are annotated appropriately to enable access.
- Managing online services requests.
- Supporting the practice secretary with referrals, making routine and 2 week wait referrals. Dealing with clinician and patient queries with regard to referrals.
- Supporting the admin supervisor with private medical work, including requests for medical reports, insurance reports and subject access requests.
- Management of DNA protocol, ensuring accurate records of patient DNAs, ensuring appropriate warning letters are sent and repeat offenders are removed from our register in line with our protocol.
- Holiday/sickness cover for other admin team members (e.g. post, scanning NHS mail).
- Any other duties assigned by Admin Supervisor or Practice Manager.

- Understanding of NHS policies, including confidentiality, safeguarding, and GDPR.
- Ability to manage sensitive information with professionalism and discretion.
