Job summary

Posterngate Surgery is a large, innovative teaching practice we pride ourselves on our approach to provide a caring, quality service to our patients. We are looking for an efficient administration assistant to join our friendly team.

Main duties of the job

The administration assistant will work under the supervision of the Practice Manager & Assistant Practice Manager to improve standards with a varied range of administrative tasks relating to Health and Safety and maintenance of the Practice premises.

Job description

Job responsibilities

Assist with the general maintenance of the Practices premises and liaise with external contractors for quotes for management consideration. Coordinate completion of any agreed maintenance work

Maintain logs of procedure checks and perform risk assessments in line with Health & Safety

Monitor and maintain accurate records in line with Care Quality Commission requirements including policy reviews where appropriate

Maintain systems and processes for ordering supplies including stationery, uniform, cleaning supplies and other housekeeping consumables whilst ensuring value for money

Administer the online training package ensuring all staff are registered and have access to the appropriate job related training

Administer DBS and right to work checks for staff

Reconcile the petty cash

Deposit cash/cheques received to the Practice Bank on a monthly basis

Make requests for agenda items and take minutes at ad hoc meetings

Produce the patient quarterly newsletter and issue new PPG membership packs

Summarise friends and family patient survey results

Maintain and update staff information folders and noticeboards

Person Specification

Qualifications

Essential

  • GCSE or equivalent at least grade C in Maths and English Language
  • Experience of working in an office
  • Excellent telephone & communication skills.
  • Sound knowledge of Windows and MS Office.
  • Knowledge of data security.
  • Good verbal & written communication skills.
  • Problem solving skills.
  • Pro-active team player but can also use own judgement when necessary.
  • Friendly and approachable.
  • Flexible approach organised and quality assured.
  • Attention to detail.
  • Maintain confidentiality and sensitivity at all times.
  • Ability to use own judgement and resourcefulness.
  • Ability to work without direct supervision and determine own workload priorities.

Desirable

  • 5 or more GCSEs or equivalent at least grade C in a variety of subjects
  • Administration experience working for a health care provider.
  • Experience of working with computerised medical systems
  • Knowledge of Health & Safety in the work place
  • IOSH qualification or willingness to complete the course
