Job summary
Kennet and Avon Medical Partnership is a large general practice in Wiltshire. We are seeking a QA administrator to join our team, initially for a fixed term contract period of 12 months.
This is a non-clinical administrative role, working for 24 hours a week, ideally over 3 days, with flexibility on working days between Monday and Friday.
This role plays a key part in optimising the health of our patients with chronic and life-long conditions as well as contributing to the health of our wider population. You will cover named medical conditions, health screening and immunisations rotating each year. You will work among a great team of professionals and in a flexible environment. Main duties of the job
As a QA administrator you will follow quality assurance processes which are designed to ensure that standards of care are maintained and improved, to minimise errors and provide patient safety and quality of care.
Your main roles will be to:
- Summarise contents of paper medical records and add relevant information to the patient's electronic record.
- Assist with processing clinical correspondence, eg from hospitals, adding relevant information to the patient record and flagging any actions to the appropriate clinician.
- Ensure optimal uptake of health promotion initiatives, such as cardiovascular health screening and immunisations.
- Contribute to the achievement of The Quality and Outcomes Framework (QOF) by managing continuous call, recall and monitoring processes. This consists of managing and maintaining our long term conditions registers and inviting patients for annual reviews.

QOF Administration
Ensure all QOF registers are accurate, complete
and up to date
Undertake a comprehensive and effective calls
and recalls service for all QOF requirements
Monitor progress towards QOF targets and take
action when targets are not being achieved in a timely manner
Run searches to identify errors in coding or
missed coding leading to patients not being identified as having a specific
condition, code as appropriate
Regularly review missed income reports to
ensure all registers are fully populated
Enhanced
Services Administration
Undertake a comprehensive and effective calls
and recalls service for all enhanced services requirements
Monitor progress towards enhanced service
targets and income and take action when targets are not being achieved in a
timely manner
Ensure
that monthly, quarterly and any other data returns to commissioning
organisations are made on time and are accurate and reflect true levels of
activity
Where
such returns are extracted automatically from S1 by the commissioning
organisation, check for and follow through with the commissioning organisation,
any material discrepancies between those extracts and the practices own
internal searches
Clinical Correspondence
Receive
clinical correspondence from a variety of sources
Process,
clinically code and save to the patient notes any relevant medical information
As
necessary, pass any actions arising to appropriate clinicians, admin staff or
pass to appropriate clinicians for information
Notes Summarising
Receive paper records for all newly registered
patients
Following the agreed protocol, review the whole
patient record (paper and electronic version), cull and organise the record,
produce an accurate summary of the patients past medical history, code any
relevant information onto the electronic patient record and remove any past
coding that doesn't comply with KAMP protocol
