Job summary
The Portchester Practice is seeking two motivated, adaptable and patient-focused Receptionists to join our busy front-of-house team. These roles are vital in supporting the smooth delivery of our services and ensuring patients can access the care they need.
As part of our Reception team, you will be the first point of contact for patients both in person and by telephone. Your responsibilities will include managing patient enquiries, booking appointments, processing repeat prescription requests, handling administrative tasks and supporting the wider clinical and administrative teams.
We are looking for individuals who can stay calm under pressure, communicate clearly and provide a high standard of service to our diverse patient population. Strong IT skills, attention to detail and the ability to work collaboratively are essential. Previous experience in a healthcare setting is helpful but not required, as full training will be provided.

Main duties of the job
Act as the first point of contact for patients, both in person and by telephone
Handle patient enquiries promptly, professionally and with sensitivity
Book, amend and cancel appointments using the clinical system
Process repeat prescription requests in line with practice protocols
Manage incoming and outgoing communications, including emails, letters and test results
Support the clinical team by preparing notes, updating records and carrying out administrative tasks
Register new patients and update patient details accurately
Maintain the reception area to ensure a welcoming and organised environment
Signpost patients to appropriate services and support where required
Follow confidentiality, safeguarding and data protection requirements at all times
Contribute to the wider administrative workload to support the smooth running of the practice
Participate in team meetings, training sessions and service improvement activities

We are a team of five GP partners, three salaried GPs, five practice nurses, three healthcare assistants and a dedicated phlebotomist. MAIN PURPOSE OF THE POST
To be part of the reception
team which contributes to the smooth running of the practice by being the first
point of contact for our patients.
Main Duties
1.
To act as a point of contact for patients needing to be in
touch with the surgery, either by telephone or face to face.
2.
To maintain a good relationship between staff and patients, by
showing sensitivity to the needs of others.
3.
To maintain total confidentiality regarding information about
patients and ensure that all patients are treated in a courteous and respectful
manner.
4.
Assist in the smooth running of the surgery by:

Dealing with patients politely and efficiently when they
contact the practice.

Answering general queries, making appointments and recording
messages accurately.

Booking patients into the GP triage if urgent on the day.
Other
duties will include:

Ensure all PC are switched on and ready for the start of the
day

Opening and distribution of post

Scanning documents into the clinical system

office at the end of the day
