Job summary

Due to existing staff development and promotion we are looking for an individual to join our patient facing admin team. This is not just a 'reception job', the administrative team shapes the patient journey through the practice whether it is making an appointment, dealing with a request for a prescription or any one of the varied tasks you will have to do on a daily basis.

Main duties of the job

Your main duties will be to respond to patient requests by any means of contact.

Our admin team also underpin the work of the clinical team by responding to tasks sent by the clinical team.

We are promoting a paper lite surgery so most of our work will be computer based either using common office software or the clinical system when you have completed your induction and training.

Job description

Job responsibilities

The following are the core responsibilities of the medical administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. Deal with patient queries, book appointments either face to face or over the telephone.

b. Complete opening and closing procedures in accordance with the duty rota.

c. Processing incoming and outgoing mail.

d. Photocopy documentation as required.

e. Data entry of new and temporary registrations and relevant patient information.

f. Scanning of patient related documentation and attaching scanned documents to patients healthcare records.

g. Input data into the patients healthcare records as necessary.

h. Code data on S1.

i. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately.

j. Manage all administrative queries as necessary.

k. Maintain a clean, tidy, effective working area at all times.

l. Support all clinical staff with general administrative taaks as requested.

Addition to the primary responsibilities, the medical administrator may be requested to:

a. Partake in audit as directed by audit lead.

b. Process referrals using the electronic referral system (ERS).

c. Referrals to external agenicies such as secondary care.

d. Produce meeting agendas and record the minutes of meetings.
