Job summary

We are seeking a motivated and friendly Admin/Receptionist to join our busy GP Practice team for 16 hours a week. In this varied role you will be first point of contact for patients, managing administration tasks, appointments, handling queries.

Strong communication skills, a positive attitude, and the ability to work in a fast paced environment are essential.

Main duties of the job

Coding - Accurately enter clinical information into patient records.

Scanning - Process and upload documents to electronic health records.

Emails -Manage practice inbox, respond to queries, and forward relevant messages.

Pathology Management - Review, file, and action test results as directed by clinicians.

Queries - Handle patient and staff queries efficiently and professionally.

Communication - Liaise with external organisations (e.g., hospitals, labs) and patients regarding appointments and referrals.

Appointment Booking - Schedule and manage patient appointments, ensuring smooth clinic flow.

Telephones - Answer and manage incoming calls, including triage and redirecting queries.

Prescriptions - Process repeat prescription requests and liaise with clinicians as necessary.

General Administrative Support - Assist with practice operations and tasks to ensure a high standard of service delivery.

Job description

Job responsibilities

  • Work in accordance with written protocols.
  • Update and file relevant documentation appropriately in medical records.
  • Maintain and update appropriate coding systems.
  • Scan correspondence onto patients medical records and ensure that coded entries are entered appropriately and accurately.
  • To input clinical codes onto the EMIS system on patients records and to inform relevant clinicians of any action required.
  • Undertake a variety of administrative duties to assist in the smooth running of the practice.
  • Facilitate effective communication between patients,members of the primary health care team, secondary care and other associated healthcare agencies.
  • Maintain the path lab system accurately.
  • Action workflow tasks.
  • Give patients access to online services as appropriate. Registration of new patients to the practice.
  • Action tasks set by clinicians via the clinical system and email. Produce audits involving your working area when requested by the PM.
  • Ensure smooth workflow of paperwork for the clinicians as per the practice protocol.
  • Accurate recording of all patient-related information into the correct patient medical record.
  • Ensure computerised medical records are kept to a good standard of presentation.
  • Deal with telephone enquiries in a professional and efficient manner.
  • Ensure the clinical team have relevant medical records/hospital letters, diagnostics reports etc. in order for them to conduct an effective consultation.
  • Good communication skills and a calm manner. Be able to put patients rapidly at their ease and give them the space and time to explain their needs.
  • Identify potentially serious problems and bring those to the immediate attentions of the correct clinician.
  • Book appointments for patients using our web-based appointment system. Note the arrival of Patients on our web-based appointment system.
  • Accurate recording of all patient-related information into the correct patient medical record including visits and telephone conversations.
  • Handling completed repeat prescriptions to patients and checking against recorded name and address.
  • Deal with telephone enquiries in a professional and efficient manner.
  • Taking receipt of samples and paperwork from patients and ensuring that the correct procedure is followed.
  • Providing clerical assistance to Practice staff as required including word - data processing, filing, photocopying and scanning. Ability to work within a team.
  • Ability to communicate with people at all levels.
  • Possess the ability to self-motivate, organise and prioritise own workload.
  • To gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.
