Job summary

We have an opportunity for a potential candidate to join our dynamic Medical Secretary Team. The successful candidate will work full time (37.5 hours, Monday-Friday) as a Medical Secretary, based at Quay House Medical Centre.

The applicant will need to have a keen eye for detail, ability to work to process, complete work efficiently and within KPIs, possess a good telephone manor, have good communication skills, and be a team player who can also work well independently. Additionally, to provide secretarial support for HMG clinicians and teams to enable safe and efficient patient care.

Working Hours : 37.5 Hours

  • Monday 09:30 - 18:00 pm
  • Tuesday 09:00 - 17:30 pm
  • Wednesday 09:30 - 18:00 pm
  • Thursday 09:30 - 18:00 pm
  • Friday 09:00 - 17:30 pm

Main duties of the job

The role of the Medical Secretary is to:

  • Typing letters from Lexicom (Audio Type) and task.
  • Actioning referrals tasks from clinicians.
  • Preparing and completing GP reports.
  • Liasing with external agencies, including Referral Management Centre and external providers when necessary.
  • Using E-Referral service system.
  • Supporting GPs and clinicians in their role.
  • Using redaction software (IGPR) and checking of patient notes.
  • SEA and LE- Highlight to appropriate personnel.
  • SARS
  • Monitor the secretarial email account, redirect any inappropriate emails and update password as required as part of the secretarial team.
  • District Nurse Communications
  • Code range of clinical details into notes in line with agreed protocols/procedures
  • Ensure that all contacts from patients and third parties, over the telephone and electronically, are greeted in a friendly helpful manner and handled courteously, efficiently and confidentially at all times.
  • Ensure that the filing and recording of patient information both electronic and manual is promptly handled with care and in line with practice policies and procedures.
  • Help to ensure that the surgery premises are kept safe and tidy at all times.
  • Alert a manager to any problems or concerns from staff or patients when necessary.
  • Create/update document templates in EMIS as required.
