Main duties of the job
The main purpose of this role is to receive and
assist patients in a courteous and friendly manner, whether in person or on the
phone, and to offer general assistance to the wider practice team by
undertaking a variety of administrative duties to contribute to the smooth
running of the practice.
The successful candidate will have excellent
communications skills with ability and willingness to work and communicate with
people at all levels. Must be reliable and friendly, and able to work under
pressure.
Full training will be provided to the right
applicant but previous experience in GP surgery is desirable.

Duties and Responsibilities:
The duties and
responsibilities to be undertaken by members of the Practice administration
team may include any or all of the items in the following list. Duties may be
varied from time to time under the direction of the Reception Managers/Practice
Manager, dependent on current and evolving Practice workload and staffing
levels:
- Opening up/locking-up of Practice premises
and maintaining security in accordance with Practice protocols
- To receive and direct patients and visitors
to the Practice, promptly and courteously, ensuring that accurate
information is supplied.
- To be responsible, together with the other
members of the reception team for the appointments systems
- Processing personal and telephone requests
for appointments, visits and telephone consultations and ensuring callers
are directed to the appropriate healthcare professional
- Processing and distributing incoming mail
- Processing and franking outgoing mail
- Taking messages and passing on information
- Filing and retrieving paperwork
- Registering patients
- Processing repeat prescriptions in
accordance with Practice guidelines
- Computer data entry/data allocation and
collation; processing and recording information in accordance with
Practice procedures
- Initiating contact with and responding to
requests from patients, other team member and associated healthcare
agencies and providers
- Clearing and re-stock consulting rooms as
required
- To ensure that the reception area and
consulting rooms are always kept tidy and free from hazards and maintained
in accordance with Practice Policies.
- To deal with delegated tasks efficiently,
according to guidelines set, and reporting regularly any problems and
targets reached as required.
- To be aware of the practice philosophy and
to treat patients/ visitors with respect, and tolerance and offer
constructive support to colleagues and general public.
- Providing clerical assistance to
Practice staff as required, including word/data processing, filing,
photocopying, scanning
- To be aware of income generating activities,
to ensure that all policies are carried out to generate a high income.
- To work flexibly according to the needs of
the Practice and provide cover for absent colleagues.
- Any other duties, appropriate to the grade,
as required by the Practice Manager/ Reception Managers
