Job summary
As part of the support team, which covers reception and
administration, as Administrator you will be responsible for undertaking a wide range of
secretarial and administrative duties and the provision of administrative
support to the multidisciplinary team.
We are looking for a friendly, efficient, proactive person who has good IT skills, excellent verbal and written communication skills and who will be able to work autonomously and as part of a team.
Main duties of the job
Duties can include, but are not
limited to, the processing of information (electronic and hard copy) in a
timely manner, liaising with multidisciplinary team members and external
agencies such as secondary care and community service providers in accordance
with current policies, including the use of the electronic referral service
(ERS).
As part of the role you will also undertake
Reception duties as required being the first point of contact for patients,
providing a professional, welcoming service.

Main Responsibilities
The following are the core responsibilities of the Administrator. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
- Organise and manage the referral administrative work in order to provide a high quality service
- Typing letters, reports and associated documentation as required
- Processing referrals using the electronic referral system (ERS) and booking appointments as appropriate
- Processing requests for information i.e., SAR, insurance/solicitors letters and DVLA forms etc
- Scanning of patient related documentation and attaching scanned documents to patients healthcare records
- To deal with enquiries from hospitals, community services and patients on all matters relating to their care
- Take responsibility for enquiries and ensure they are dealt with in an effective manner
- Take an approach of continuous development to
- Make use of the IT systems available to ensure that we can monitor workload / activities undertaken for the purpose of reporting
- Maintain accurate / up to date contact information for referrals and advice and guidance and
- Maintain the email box for administration taking action as required / referring on for guidance
- Answering incoming phone calls (including reception as required), dealing with all administration calls and referring on to appropriate team members
- Maintain local elements of the clinical system relating to administration activities i.e. template letters / text messages / templates
- Ensure clinical information is accurately coded to the patients records from documents related to patients health or social care needs
- Ensure that records are available in the instances where paper records are needed
- Take the lead in the administrative aspects of the referrals and advice and guidance and be seen as the administrative expert in this regard
- Have a proactive, collaborative approach supporting colleagues as needed
- Support ongoing developments to ensure that we deliver the service in the best way
