Job summary

We are seeking a highly motivated and experienced Practice Manager to lead the operational management of our small, friendly Emis web GP practice in Sheffield. This part-time role (24 hours per week) offers a unique opportunity to make a meaningful impact in a leadership position within primary care. You will work closely with the GP Partner to ensure smooth practice operations, deliver excellent patient care, and foster a positive, supportive environment for the whole team.

Main duties of the job

  • Oversee daily operations, ensuring staff fulfil their roles effectively
  • Manage clinical and administrative teams, including recruitment and job descriptions
  • Administer service contracts (e.g. cleaning, gardening) and lead continuous improvement initiatives
  • Review and update practice policies and develop a business resilience plan
  • Manage finances and support QOF target achievement
  • Coordinate meetings and maintain the practice diary
  • Represent the practice externally and liaise with NHS, ICB, community services, suppliers, and other stakeholders
  • Handle complaints, disciplinary matters, and ensure legal compliance
  • Oversee premises management, health & safety, mandatory training, IT systems, data security, and information governance
  • Lead internal projects, maintain the practice website, and deputise for the GP when required
  • Produce quarterly newsletters and manage the Patient Participation Group

About us

We are a small, welcoming GP surgery with approximately 2,400 patients. Our team comprises a GP Partner, Nurse, Healthcare Assistant, secretary, four reception staff, and a Practice Manager. Located on Barnsley Road near the Northern General Hospital, we offer free parking and are dedicated to providing safe, high-quality, patient-centred care in line with NHS standards.

Job responsibilities

Overseeing day-to-day operations of the practice, ensuring staff achieve their primary responsibilities

Functional management of all clinical & administrative staff

Direct line management of staff

Managing the recruitment process

Establishing, reviewing & regularly updating Job Descriptions and Person Specifications

Managing contracts for services i.e. cleaning, gardening etc

Leading change & continuous improvement initiatives

Coordinating the reviewing & updating of all practice policies & procedures

Developing, implementing & embedding an efficient business resilience plan

Managing the financial elements of the practice

Ensuring the team reach QOF targets

Qualifications

Essential

  • Proven management experience, preferably within healthcare or GP practice
  • Strong leadership, communication, and interpersonal skills
  • Excellent organisational and problem-solving abilities
  • Sound knowledge of NHS systems, CQC standards, HR best practices, and IT proficiency
  • Leadership/management qualification, accounting skills including budgeting and forecasting
  • Experience in performance management, workforce planning, and health & safety
  • Ability to work flexibly, including outside core hours, and hold a full UK driving licence

Desirable

  • AMSPAR qualification or degree-level education in healthcare
