Job summary

The Western Road Surgery is looking to recruit a Receptionist to join our team on a part time basis. This role would be 23.5 hours a week, with an additional 4 hours of contracted cover when colleagues are on leave.

Hours:

Monday- 8am - 6 pm

Thursday 8.30-6.30pm

Friday 8-2pm, with cover until 6pm if colleagues on leave.

Main duties of the job

The post holder will be responsible for carrying out general receptionist duties, which will include:

  • dealing with the general public
  • booking appointments
  • filing/scanning documentation
  • chaperoning
  • ensuring queries that are received via task, email and face-to-face are managed in line with procedures
  • general administration

About us

Western Road Surgery is the biggest GP surgery in Billericay (about 12, 900 patients). Our team is made up of 13 part time receptionists, administrators, secretaries, GP Partners, Pharmacists and GP Assistants. It's a busy but supportive practice, and our team enjoy working together and looking after the people of Billericay.

Job responsibilities

- Answer phone calls from patients aiming to resolve their concerns either by signposting, triaging or booking appointments.

- Work with the triage GP to book appointments in the correct time scales.

- Answer emails from patients and other agencies.

- Respond to prescription requests from patients.

- Carry out Reception admin duties including scanning and matching of letters etc.

- Chaperoning for clinical staff when needed.

- Restocking clinical rooms

Experience

Essential

  • - have a good standard of education, including maths and English
  • - have experience of providing customer service

Desirable

  • - have experience of working within a receptionist role, ideally within a primary care general practice position, but this is not essential.
  • - have experience of receiving and making telephone calls in a previous role.
  • - have strong IT skills and be able to use computer-based systems experience of SystmOne would be advantageous but not essential as training will be provided
  • - have strong organisational skills
  • - have strong communication skills, both verbal and written, with the ability to communicate effectively with internal staff as well as external agencies and patients
  • - be able to work effectively within a team, as well as to work independently. This list is not exhaustive and is subject to change by request of the practice manager and partners.
