Job summary

Priory Road Medical Centre are looking to recruit someone who is capable of working in a busy environment and confident at dealing with a wide ranging patient group. It will involve face-to-face and telephone work.

You should be a team player who is able to help meet the targets required by this busy team and are adaptable to the needs of the practice.

The job is for 20 hours per week Mon to Fri 2.00pm to 6.00pm

About us

Wyvern Health Partnership is a newly formed partnership of five GP practices, formed in 2018 to improve the quality of care for over 50,000 patients across the area.

The partnership incorporates Hawthorn Medical Centre, Lawn Medical Centre, Merchiston Surgery, Old Town Surgery and Priory Road Medical Centre.

The practices came together in response to the increased demand for primary care services in Swindon and the considerable pressure this put on resources, and on staff in particular.

The partnership has 23 partners and a large team of GPs, nurse practitioners, general nurses, health care assistants and support staff, working together and sharing best practice to benefit both our teams & our patients alike.

Job responsibilities

JOB TITLE: SENIOR PATIENT CO-ORDINATOR/RECEPTIONIST

ACCOUNTABLE TO: Practice Manager - Cath Turner, Operations Manager Shella Hollister

SUPERVISOR:

RESPONSIBLE FOR: The provision of an efficient and caring service to the patients of the Practice.

DUTIES GENERAL RECEPTION

To maintain strict confidentiality at all times. To open the premises if required, open shutters, check heating and ventilation and turn off the alarm. Ready the premises for work.

To lock up the premises if required, closing shutters and switching on intruder alarm and generally securing the building. A doctor should always be present on your departure.

To ensure that enquiries from patients are efficiently and courteously handled.

To ensure that the filing, record keeping and distribution of documents is undertaken efficiently and promptly.

To receive and route patients and visitors on their arrival.

Answer general enquiries, explain surgery procedures, make new and routine appointments.

File and extract records and any documents relating to these.

Implement actions as defined by the doctors and nurses in relation to Test Results.

Receive and record requests for home visits.

Ensure that adequate supplies of stationery, towels and couch rolls area available in the consulting rooms and reception area.

Take messages for all members of the Primary Care Team and record them accurately on the computer, ensuring that messages are passed on promptly.

Tidy reception area and check cleanliness of patients toilet.

Attend staff meetings and Away Days as requested.

Hand out repeat prescriptions to patients.

Accept requests from patients for completion of forms, eg. medicals etc. by GPs and informing patients if a fee is payable.

Taking and entering fees for non NHS work in the petty cash book, giving change and verifying cheques. Giving patients receipts for monies received. Using and processing card machine.

Photocopy documents as and when required.

Shred confidential documents as and when required.

Issue computerised prescriptions.

Clear up spills, eg. vomit, blood, when necessary according to Practice protocol.

Maintain the items in the spills bucket.

Attend training courses as and when requested, to do so for the mutual benefit of the employee and employer, on the understanding that no expense will be incurred by the individual save for refreshments.

Manage reception team co-ordinate and create agendas for regular reception & GP/Reception meetings

Liaise with clinical, admin staff and management cascade information, protocols, procedures etc to reception team

Co-ordinate advertising/patient information and manage reception cover for annual Flu Clinics

Log reception sickness and overtime in reception diary

Manage reception email and support admin staff managing safeguarding email

Train and induct new team members

Regularly meet with Operations Manager discuss issues, information, staff support

Carry out any other duties as mutually agreed between employer and employee.
