Job summary
We are seeking a detail-oriented and organised experienced Medical Secretary to join our GP Practice. The ideal candidate will play a crucial role in processing referrals to secondary care and providing essential administrative back office support. This position requires a strong ability to manage multiple tasks efficiently while maintaining a high level of professionalism and confidentiality.
Main duties of the job
The Medical Secretary will provide administrative and secretarial support to the GPs and practice team, ensuring the smooth running of the surgery. Duties include preparing and typing medical correspondence and referral letters, managing incoming and outgoing communication, and maintaining accurate patient records in line with confidentiality policies. The role also involves processing NHS e-Referrals, liaising with hospitals and other healthcare providers, and handling patient queries professionally. Additional tasks include supporting audits, data collection, and general administrative duties as required. Attention to detail, strong IT skills, and knowledge of medical terminology are essential.

We are a practice consisting of 5 GP Partners, 4 salaried GPs, 5 Practice Nurses, 4 Health Care Assistants, and a lovely admin
team.We have around 8,900 patients.We operate from a
large multi-purpose building in Eccleshill, where we also have Physiotherapists
Social Prescribers, Ultrasound, Epilepsy and memory clinics and the District Midwives.
We have a strong training focus in practice, training 6 GP registrars, FY2
doctors, medical students, advanced nurse practitioners, and nursing
students.We are

- Managing and processingNHS Mail correspondence efficiently and professionally.
- Handling patient queries and correspondence viaPatchsand other communication platforms.
- Supporting clinicians with accurate and timelyclinical coding of consultations, diagnoses, and outcomes withinSystmOne.
- Support the completion ofmedical reports, SARS and letters as required.
- Liaising with hospitals, community services, and other healthcare providers to coordinate patient care and follow up referrals.
- Maintaining confidentiality and ensuring all data is handled in line with GDPR and practice policies.
- Manage appointment scheduling, including booking, rescheduling, and confirming patient appointments.
- Handle incoming calls, emails, and correspondence, responding to inquiries in a timely manner.
- Perform general office duties such as filing, data entry, and maintaining office supplies.
- Covering reception when there is absence/ short staffed.
