Job summary

We are looking for a driven and caring person to join our team in an administrative support role at the Sudbury branch of the Dove River Practice. You will work within our friendly team to support our Practice Manager, Clinicians and other admin staff to provide excellent care to our patient population. You need to be motivated and compassionate, someone who can forward think and problem solve.

The role is for 15 hours a week, over 3 days.

Interviews will take place w/c 10/11/2025 - times TBC based on applicants. This will be held with the Practice Manager and IM&T Manager.

Main duties of the job

You will work in our office space providing admin support to the wider Surgery team.

You will use various IT systems including our GP IT system; EMIS Web and Docman (our document management system) as well as Microsoft software. Full training will be provided to the successful applicant for these specialised systems.

We are looking for someone who will be confident in engaging with various other services and able to work well as part of a small team.

Job description

Job responsibilities

Hours: 15 hours per week. Your normal working hours will be Monday, Tuesday and Wednesday at our Sudbury branch (Sudbury Surgery, Gibb Lane, Sudbury, Ashbourne. DE6 5HY); 5 hours per day during core working hours. You may be needed for cover at the Tutbury site dependant on business needs for sickness or holiday cover.

Responsible to: The Practice Manager

Accountable to: Practice Manager and Partners

Duties of the post:

1. To provide administration support to the Practice Manager, receptionists, nurses and doctors at the Practice. This will include: filing and general office duties.

2. To manage new patient registrations received at the Sudbury site and ensure they are added to the clinical system as per agreed timeframes.

3. To respond to Secretarial requests and queries from patients when received and deal with these as required. To process tasks within the clinical system from the Clinical team with regard to these requests.

4. To provide support with typing and processing of referral letters via Lexacom software.

5. Scanning and filing of clinic letters received into Practice from third parties using Docman software.

6. To prepare and maintain a maintenance log of all Practice medical equipment to include all service dates and repair/breakdown dates for both sites.

7. Co-ordinate the mandatory H&S training programme; setting up new starters and removing leavers from the Practice Index training web site and checking current staff and doctors training status. Where training has lapsed and not been renewed you will inform the relevant managers so they can take appropriate action.

8. To arrange CPR training once a year for both clinical and non-clinical staff using local providers.

9. Produce a Practice Newsletter quarterly, and Team update fortnightly, and circulate with support from managers and Partners for input. To produce PLT days posters for internal and external notice boards at Sudbury.

10. Any other adhoc duties as and when required.
