Executive Assistant to the Chief Executive

An opportunity has arisen to join our friendly team as Executive Assistant to the Chief Executive. Main duties of the role are managing a very busy diary, administrative duties and helping with new projects.

You will be enthusiastic and motivated and work to a high standard of accuracy. You will be able to prioritise your workload effectively and have excellent written and verbal communication skills. A willingness to support the team as a whole is essential.

The role will be based at Quayside House, Gloucester. The role could be purely office-based, or hybrid office-based/working from home, if preferred. If hybrid working, you must be willing and able to travel to central Gloucester whenever required during your contracted hours.

The working hours are 20-25 hours per week, to be worked over at least 4 days (preferably 5 days). If a full-time role is preferred, there is the potential to combine the EA post with other administrative duties.

Support to Chief Executive and senior management team.

Managing administration tasks.

Manage the multiple and complex demands of the Chief Executives time and proactivelymanage diaries by forward planning and organising regular meetings and events. Ensure that the Chief Executive is aware of appointments and that all relevant documents are prepared for each meeting and any travel arrangements/ accommodation are in place.

Provide prompt, effective verbal and written communication and deal with queries in aconfidential, professional and sensitive manner.

Take confidential minutes both remotely and in-person with prompt turnaround and produce action trackers from meetings; ensuring these are brought to the prompt attention of the relevant staff to enable follow up as necessary.

Use initiative in all areas of work in the absence of or on behalf of the Chief Executive and ensure that they are kept informed.

Process accurate expense claims and keep detailed records.
