Job summary

We are seeking a skilled Operations Manager to provide efficient, consistent operational management to the newly formed GP Collaborative to enable it to function effectively and deliver on its commitments to members and stakeholders. The GP collaboratives aim is to provide a unified common vision for general practice in Gloucestershire.

Main duties of the job

To provide efficient, consistent operational support for the GP Collaborative, ensuring smooth day-to-day functioning, clear communication with the Executive, practices, PCNs and system partners, and effective coordination of activities, meetings, and projects. The postholder will be responsible for ensuring the day-to-day running and operations of the GP Collaborative and delivers on its commitments to members and stakeholders.

About us

G DOC LTD is owned by all the GP Practices in Gloucestershire; the Practices are our shareholders.

We operate on a not-for-profit basis: any profits are redistributed into primary care in Gloucestershire.

We are a limited company run by a Board of Directors, most of whom are experienced local GPs.

We run a number of GP practices, as well as some other services for the whole county.

In Gloucester we run 9,500 patients at Gloucester Health Access Centre/Matson Lane (9,500 patients) and Partners in Health (12,400).

In the Forest of Dean, we run two practices, both of which are dispensing: Lydney (7,500 patients), and Blakeney (3,200 patients).

From 1 August 2025, G DOC will be running Coleford Medical Practice dispensing: (13,600) patients.

Our countywide services include:

G DOC is running a Covid Medicines Service to help and support the high-risk patients in Gloucestershire.

Over 17,000 primary care appointments each year at Gloucester Health Access Centre for patients who may need to be seen the same day when their own practice is already full, or who do not have a registered GP. GHAC is open 8am8pm, 365 days a year.

Collaborative Operations

Coordinate the administration and delivery of Collaborative meetings, working groups, and events, including agenda setting, papers, minutes, and follow-up.

Delivery of the strategic intentions voted on by the Summit and as directed by the Board.

Leading on projects as directed by the Associate Director and COO.

Maintain an up-to-date programme plan, tracking progress across system initiatives brought to the Collaborative, assessing General Practice Impact Assessments for completeness and collating material for Execs and Boards.

Provide direct support to the Collaborative Chair, Board members and Clinical Leads in preparing materials and managing workload.

Membership and System Liaison

Act as a central point of contact for GP Collaborative communications, through the central mailbox.

Ensure regular updates, briefings, and information flows to practice and PCN member organisations, plus system stakeholders.

Administrative & Governance Support

Maintain key governance documentation (e.g. terms of reference, action and decision logs, risk logs, voting records).

Ensure Collaborative records are well organised, securely stored, and accessible to members.

Coordinate contributions to wider system reporting (e.g. ICB updates, neighbourhood or place-level returns).

Project & Workstream Coordination

Support delivery of Collaborative workstreams, helping manage timelines, deliverables, and reporting.

Track progress on funding bids, commissioned pieces of work, and joint programmes with system partners.

Liaise with project leads to ensure actions are followed up and deadlines are met.

Event and Meeting Logistics

Organise internal and external meetings, events, and workshops booking venues, arranging invites, and supporting facilitation.

Provide logistical support for collaborative engagement sessions, including collation of slides and materials.

Stakeholder Engagement

Support the Collaboratives relationship with key partners including ICB staff, the LMC, GHCNHSFT, GHNHSFT, and local authorities.

Help prepare briefing notes, responses, and shared communications for external stakeholders.

Basic Financial Administration

Support budget tracking and funding oversight, working with the GDOC Finance team to produce relevant reporting for Execs and Board.

Support preparation of small-scale business cases, grant proposals, or summary reports where needed.

Working conditions

You must comply with site Health and Safety procedures, including those that concern clinical waste, use of hazardous substances, and the use and disposal of sharps.

Health and safety hazards should be reported to the Practice Manager.

You should dress appropriately and professionally. To reduce the risk of sharps injuries, shoes should be closed (not open sandals).

You must ensure that your car is insured for commuting and for any business use, if applicable (e.g. home visits if part of your role).

GP staff in Gloucestershire have been the victims of serious & sustained stalking and violence. You should not give anyone outside the Practice information about when and where colleagues will be working. Refer any queries about rotas etc to the Practice Manager or G DOC. Be aware that stalkers may have knowledge of the local healthcare system and sound very plausible.
