Job summary

An exciting opportunity has arisen for a GP co-ordinator to join our friendly team at Skewen Medical Centre. We are looking for a hard working and motivated individual to work part-time hours in a job-share role. Previous experience of working in a General Practice environment is desirable but not essential as training will be given.

Our Co-ordinator is a key role which can be very demanding whilst also being challenging and interesting at the same time, hence you will need to present a calm and friendly image to patients, have good listening skills and be able to provide the correct information when required.

Main duties of the job

The role will include the co-ordinating of requests received from patients via our AskMyGP platform, having a methodical way of thinking and excellent use of IT packages. You should also have an excellent telephone manner and enjoy interacting with patients and the wider team, also liaising with nursing homes and other clinicians. The role is a job share so will need to be flexible to cover annual leave as requested.

You could also be dealing with patients at reception and over the telephone, processing prescriptions and mail, booking and cancelling appointments, 'signposting' patients to the appropriate service, competent use of IT packages, answering calls and making outgoing calls in a professional manner. It is vital that you have an understanding of the importance of data protection and ensure that confidentiality is maintained at all times.

Skewen Medical Centre is an outstanding GP Training Practice serving a practice population of over 9000 patients.

We are a multi-disciplinary team consisting of four GP Partners, one Business Partner, one salaried GP, two Physician Associates, one Minor Ailments Nurse, a Nursing Team comprising of one Practice Nurse, two Health Care Assistants and a Phlebotomist, along with our administration and reception team.

Job responsibilities for the role of Co-ordinator include:

Co-Ordinator Role

This is an online consultation platform which enables patients to detail their medical problem and send it directly to us. You will need to:

  • receive the requests online and prioritise and allocate to the most appropriate clinician
  • Identify any possible GP/Minor Ailment Nurse appointments and home visits.
  • Maintain a waiting list of patients who require appointments with one of the clinicians based at the Cluster Hub and to ensure appointments are booked with the relevant Clinician when they become available.
  • Complete all enquiries that the MDT send to you via askmyGP
  • Liaise professionally with external organisations when necessary
  • Liaise with patients and offer appointments
  • Produce blood test forms when requested by clinician
  • Completing repeat prescription request from our Nursing Homes
  • Liaise with our Nursing Homes and ensure any queries or concerns they may have are passed on to relevant clinician
  • ensure an accurate record of the Practice team availability is maintained on our website.

Administration Duties:

  • To work in accordance of written protocols
  • Update our appointment booking systems
  • Send and record messages accurately and efficiently
  • Ensure correct telephone messages are active
  • Assist other members of staff
  • General admin duties

Reception Duties (when required)

Greeting patients and booking in on our system

Handling completed repeat prescriptions to patient and checking names and address.

Support team in all reception duties as necessary

Ensure effectiveness of appointment system and monitoring flow of patients in the practice

  • Process appointment requests for today/future appointments from patients by telephone and in person
  • Arrange with visits/requests as directed

Computer

  • Booking patients into AskMyGP/Vision in a timely manner
  • Registration of new patients computer data entry and medical records
  • Process patients changes of address computer data and medical records (have knowledge of practice area)
  • Process repeat prescription requests in accordance with practice guidelines
  • Competent using computer packages

Telephone

  • Have working knowledge of telephone system, during and after hours
  • Answer calls and make outgoing calls in a professional manner, dealing with a number of tasks.

Other Tasks

  • Give out test results to patients

  • Have a thorough knowledge of all practice procedures
  • Any other tasks allocated by managers
