Job summary
We are looking to recruit a permanent, part time Receptionist to work over 4 and 5 days, between 17 to 22 hours, per week (Monday to Friday), to meet the needs of the surgery with shifts between 8am and 7pm. Exact details to be discussed. This role would involve you being responsible for undertaking a wide range of reception duties and the
provision of general support to the multidisciplinary team.

Main duties of the job
Duties can include but are not limited to, greeting
and directing patients, effective use of the appointment system, booking
appointments, processing of information and assisting patients as
required. To act as the central point of
contact for patients, the distribution of information, messages and enquiries
for the clinical team, liaising with multidisciplinary team members and
external agencies such as secondary care and community service providers.

Receptionist duties:
- Maintaining and monitoring the practice appointment system i.e. make/cancel/rearrange appointments via the clinical system
- Data entry of new and temporary registrations and relevant patient information as required
- File patient medical records, results and letters
- Process personal, telephone and e-requests for appointments
- Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
- Signpost patients to the correct service
- Ensure up to date patient information is recorded
- Greeting patients at reception, noting their arrival time
- Observe the waiting room
- Ensure the waiting and reception areas are kept tidy
- Ensure effective communications, regularly updating the Team Leader of any issues
- Initiating contact with and responding to, requests from patients, team members and external agencies

- Ensure confidentiality at all times
- Maintaining the safety of staff, patients and visitors
- Maintain a clean, tidy, effective working area at all times
- Carry out any other duties as reasonably requested

- Action incoming correspondence when necessary
- Scanning of patient related documentation and attaching scanned documents to patients healthcare records
- Taking instructions from medical experts
- Performing general administrative duties such as scanning, photocopying and emailing
- File patient medical records, results and letters
- Ensure up to date patient information is recorded
- Input data into the patients healthcare records as necessary
- Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team
- Manage all queries as necessary in an efficient manner
