Job summary

Do you want to work at a GP surgery described by patients as a caring, empathetic and robust practice with outstanding professional staff from front-of-house to the medical professionals where the standard of care provided was above expectation.

You are an experienced medical secretary/medical administrator, preferably with experience in a GP practice, with good audio typing speeds, a can-do attitude and a good sense of fun.

We are looking for someone with good IT skills, a belief in the power of teamwork and strong attention to detail. The role supports the clinical and management teams with key administration tasks, initiatives and projects, with particular reference to medical secretarial duties supporting the GP team.

Main duties of the job

OUTLINE OF DUTIES

  • Proofing and retyping where necessary of all medical and confidential correspondence for the GP's, especially referrals, which have been created with voice recognition dictation software.

  • Liaising directly with patients upon any matter relating to patient care as required

  • Processing medical and confidential correspondence for the practice

  • Scanning and coding hospital letters onto medical records within EMIS Web.

  • Using EMIS Web, Choose & Book, Microsoft Office, Outlook, eRef, Remedy and other relevant software.

  • Providing information to GP's concerning the availability of consultants and other clinic services.

  • Arranging appointments for patients as required, following up referrals as appropriate.

  • Preparation/updating of chronological records and computer inputting of relevant medical information.

  • Liaising with GP's with reference to problem summaries and queries arising from the above duties.

  • Manning the practice e-mail account on a rota basis, and actioning all incoming emails by reference to standard protocols

  • Attending appropriate training as required, and keeping up to date with all required mandatory training.

  • Maintaining strict confidentiality at all times, on all matters relating to patients, GP's and other staff in accordance with current data protection legislation

  • Fulfilling any other relevant duties that may be required from time to time.

    • Competencies Strong IT skills and ability to manage data. An organised and flexible approach to work, with the ability to plan, prioritise and balance often conflicting demands. Good audio typing and copy typing speeds. The ability to work on own initiative and be self-motivated, with a can-do attitude. A proactive and creative approach to problem-solving.

    • Qualifications and training Formal qualifications are not required. Familiarity with the EMIS Web patient management system is highly desirable, as is a good working knowledge of data protection. Previous training within healthcare or administration. A willingness and desire to learn is essential.

    • Experience Experience of administration, data management, and IT within a primary health environment would be a significant advantage but is not critical. As important is the ability to learn the necessary skills in these areas, with training provided.

    • Organisational fit A good team worker who believes in customer service. Takes personal responsibility to make themselves an amenable, compatible and effective team member.

    • Special requirements To be able to maintain strict confidentiality at all times.
