Job summary

An exciting opportunity has arisen to provide support and administrative services to Bradford City PCN5.

The successful candidate will work closely with PCN managers and the Clinical Director.

This is a 20hour position

Main duties of the job

This post will require an individual with excellent planning and organisational skills.

The ideal candidate must have excellent attention to detail and be able to cope under pressure.

The post holder is expected to do the following as part of the role, this list is not exhaustive and more details are to be found in the job description

To provide administrative support services with the production of business correspondence and documentation.

Raise invoices and purchase orders

To monitor and record staff absences, sickness, training and annual leave.

Maintain confidential staff files inputting and updating records.

The post holder is expected to be fully competent with Microsoft 365 and be willing to learn other systems.

They will ensure safe administration and compliance with Policies and Standing Financial Instructions.

Job description

Job responsibilities

To maintain administrative systems to support the business needs.

To provide administrative support services with the production of business correspondence and documentation.

Be responsible for organising events, courses and conferences (including hospitality and venue bookings)

Raise invoices and purchase orders

To monitor and record staff absences, sickness, training and annual leave.

To be responsible for the monitoring and ordering of equipment and supplies as appropriate.

Maintain confidential staff files inputting and updating records.

Maintain mandatory training and non-mandatory training records.

Draft routine HR letters and other documentation.

Assist with recruitment advertising, interview arrangements and issuing offer letters and contracts to successful candidates.

Coordination of various monthly meetings (logistics, preparing and sending papers, following up actions and minutes)

Undertake any training that may be required

Undertake any other duties as may reasonably required from time to time

Be prepared to work flexibly, including evenings and weekends if required.

Health & Safety:

The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in Bradford City 5 PCN Health & Safety Policy, the Health & Safety Manual, and the Infection Control policy and published procedures. This will include:

  • Using personal security systems within the workplace according to guidelines
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Actively reporting of health and safety hazards and infection hazards immediately when recognised
  • Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role
  • Undertaking periodic infection control training (minimum annually)
  • Reporting potential risks identified
  • Demonstrate due regard for safeguarding and promoting the welfare of children.
