Job summary
To be responsible for undertaking a
wide range of secretarial duties and support to busy GP Practice.
Duties can include, but are not
limited to, the processing of information (electronic and hard copy) in a
timely manner, liaising with multidisciplinary team members and external
agencies such as secondary care and community service providers in accordance
with current policies, including the use of the electronic referral service
(ERS).
We are looking for someone to work preferably between 30-37 hours which
can be over 4 or 5 days
Main duties of the job
The following are the core responsibilities of the
Medical Secretary. There may be, on occasion, a requirement to carry out other
tasks; this will be dependent upon factors such as workload and staffing levels,
under the supervision of our Senior Secretary
Typing letters, reports and associated documentation as required
Liaising with external agencies such as hospitals and community
services, ensuring referrals are processed efficiently
Managing all enquires in an effective manner
Maintaining an accurate referrals database
Actioning all incoming emails
Processing letters as requested
Actioning Systmone Secretarial tasks
Inputting data into the patients healthcare records as necessary
Processing referrals using the electronic referral system
Processing requests for information SAR, insurance/solicitors
letters and DVLA forms
Answering secretarial related incoming phone calls, transferring calls
or dealing with the callers request appropriately.
Maintaining a clean, tidy, effective working area at all times
Supporting all clinical
staff with general administrative tasks as requested
About us
We are looking for an enthusiastic team player to
join our secretarial team at Bewick Crescent Surgery. We are a busy 5 partner Training GP
Practice. Candidates should have
excellent communication skills with a track record for delivering excellent
customer care. You will have the ability
to work under pressure. The clinical
system we use is SystmOne so experience in using this is an advantage, however,
full training can be given. Confidentiality is integral to this role and previous
General Practice experience and IT skills would be an advantage but not
essential as full training for the role will be provided. You must be flexible for holiday and sickness
cover of colleagues.

- Able to work to deadlines.
- Flexible approach to work and adaptable to change. Ability to work as a member of a team
- Knowledge of computer packages: Word, Excel, Outlook and Powerpoint.
- IT skills
- Knowledge of Data Protection and Caldicott Principles and understanding the requirement to maintain confidentiality Ability to use discretion and maintain confidentiality
- A C in Maths and English at GCSE Level
- RSA 3 or equivalent including Audio Typing
Desirable
- Keyboarding typing qualification equivalent to RSA 3 OCR Advanced text/word processing or equivalent proven typing skills to a high standard (or working towards)
