Job summary

Main Responsibilities

  • Welcome patients and provide assistance to those attending the Practice in person or contacting the Practice by telephone

  • Open the surgery in the morning and ensure the building is securely locked at the end of the day

  • Book appointments and manage telephone encounters

  • Process urgent repeat prescription requests

  • Act as a chaperone and provide personal assistance to GPs when required

  • Maintain a good working knowledge of EMIS/DART and Docman

  • Cancel surgeries as instructed

  • Adhere at all times to patient confidentiality, Data Protection, and Information Governance/GDPR regulations

  • Cover the afternoon hatch and deal with prescription queries

  • Book interpreters via Big Word for patients requiring communication support, including deaf patients

  • Assist with reception overtime when required, in line with the Receptionists contract

  • Ensure all unanswered messages and outstanding tasks are handed over to the next reception shift

  • Be flexible and willing to provide cover for annual leave and sickness

Essential Requirements
  • GCSEs in English and Maths

  • Excellent communication skills

  • Well presented, organised, and reliable

  • Computer literate

Desirable
  • Experience of working in a General Practice

  • Experience of working as part of a team

Useful

  • Experience using EMIS Web or other medical records software

  • Knowledge of medical terminology

This is a 22-hour position over three days, with the following working hours:

  • Monday: 8:00am 5:00pm (1-hour lunch break)

  • Tuesday: 8:00am 8:00pm (1-hour lunch break)

  • Wednesday: 1:30pm 8:00pm (30-minute break)

We offer access to the NHS Pension Scheme, and a uniform is provided.

Job responsibilities

Main Responsibilities

  • Welcome patients and provide assistance to those attending the Practice in person or contacting the Practice by telephone

    • All lights are switched off

    • All upstairs and downstairs windows are closed

    • Internal room doors are locked

    • Air conditioning units are switched off

    • The security alarm is set

    • The end-of-day checklist is completed, signed, scanned, and the reception log book signed

  • Book appointments and manage telephone encounters

  • Process urgent repeat prescription requests

  • Complete the duty board daily in the general office

  • Act as a chaperone during intimate examinations when required by GPs, ensuring the chaperone badge is worn at all times

  • Empty reception and main office baskets and deliver contents to the appropriate offices at lunchtime and in the evening

  • Maintain a good working knowledge of EMIS/DART and Docman

  • If opening reception, carry out a radio check each morning and record this in the log book

  • File prescriptions and record collection or postal prescriptions in the relevant chemist and post books

  • Inform patients of GP decisions regarding Med 3 (fit note) requests

  • Provide patients with contact details to arrange their own transport when required

  • Take payments for reports, travel advice, and other chargeable services

  • Upon notification of a patients death:

    • Inform the relevant GP

    • Update the deceased board

    • Record the death on EMIS

    • Check and cancel any future appointments

  • Cancel GP surgeries as instructed

  • Ensure reception is fully stocked with appropriate letters, sample bottles, and other materials

  • Ensure all visitors sign the Visitors Book at reception or in the general office

  • In the evenings, telephone patients regarding the following appointments booked for the next day:

    • Childhood immunisations

    • 6-week checks

    • Family planning

    • GP asthma clinics

    • Learning disability appointments

  • Adhere at all times to patient confidentiality, Data Protection, and Information Governance/GDPR regulations

  • Undertake photocopying and laminating duties as required
