Job summary

The role of the Vasectomy Service Lead is to deliver high quality services to patients referred into Hanham Vasectomy Service (HVS) in accordance with the HVS policy, national clinical guidance, and service specifications.

The role will support a wider team in the delivery of a high standard, compliant and sustainable vasectomy service to patients within the Bristol, North Somerset and South Gloucestershire (BNSSG) area. This will be in accordance with the service specification and contractual obligations set out by BNSSG Integrated Commissioning Board (BNSSG ICB).

The success of this role relies on:

Reporting to the Hanham Health Management Team, the post holder will lead the team of HCAs/Counsellors and work to support the Surgeons and Locums in the provision of a safe, effective, and reliable service.

Main duties of the job

The Clinical Governance role involves arranging quarterly governance meetings, collating audit data and patient feedback, coordinating service improvement projects, and ensuring CQC compliance.

Operational duties include processing referrals, booking appointments using EMISWeb, providing patient support, arranging post-vasectomy testing, and managing patient discharge.

Additional responsibilities encompass ordering consumables, reporting service activity, managing weekly rotas, maintaining the HVS website, and handling general patient and stakeholder queries. The role also involves leading a team to ensure reliable service delivery, conducting audits, participating in governance initiatives, and providing various administrative supports.

Job responsibilities

Clinical Governance

Arranging quarterly clinical governance meetings, collating clinical audit data and patient feedback

Arranging and the co-ordinating service improvement projects.

Ensuring we are CQC compliant, including: ensuring our policies are updated and accessible, staff are up-to-date with their required accreditation and statutory and mandatory training, infection control procedures are reviewed

Operational/Administrative

Checking and processing referrals received from BNSSG GP Practices

Booking patient appointments for pre-vasectomy counselling and operative procedures using EMISWeb electronic patient record system

Providing telephone and email support to our patients

Arranging post-vasectomy semen testing and completing the patient discharge processes

Co-ordinating the ordering and delivery of consumables and sterile surgical equipment

Reporting monthly service activity to the ICB for service delivery payments

Co-ordinating the weekly rotas and manage all holiday requests and unanticipated absences to ensure continuous service delivery.

Management of the HVS website

Referrals

Check, accept and process referrals via EMIS Managed Referrals

Manually accept and process referrals received via alternative pathways.

Reject any referrals that are incomplete or dont meet criteria.

Appointment Provision & Booking

Conduct all administrative activity relating to appointment booking.

Assist patients with any necessary appointment changes or general queries.

Add, cancel, and rearrange Counselling and Procedure clinics as required.

Post Vasectomy Testing Activity

Process the administration of all post vasectomy testing, including 16-week tests, 20-week tests, repeat testing and warm sample testing where required.

Discharge patients from the service once a satisfactory test result has been confirmed by the clinician, or where the patient has failed to respond to requests to submit their sample for testing.

General

Answer queries from patients, referring Practices and any other stakeholders via telephone, SMS & email.

Lead the team of HCAs/Counsellors to ensure the provision of a regular, reliable, safe and effective service.

Collate and report all monthly activity and performance data.

Raise and reconcile monthly invoices.

Co-ordinate the ordering and delivery of all clinical equipment and consumables for the various sites

Conduct regular audits relating to all element of the service.

Take an active role in clinical governance, incident review, patient engagement and service improvement groups, projects, and initiatives.

Provide ad hoc administrative support, information, correspondence or reports as required.
