Job responsibilities
The post holder will:
Operational Responsibilities (Data and Appointments)
- Be point of contact for Appointments queries for all patient staff
- Monitor Appointments email inbox and respond to all queries promptly
- Apply a thorough and consistent approach to administration of appointments system and reliably apply rules and principles
- Ensure clear communication to all members of Practice staff and key external stakeholders
- Support delivery of Appointments related projects
- Plan and coordinate Appointments system setup
- Administrate and organise meetings/coordinate availability where required
- Ensure Appointments system is managed effectively so that obligations and targets are achieved
- Submit data as required to external bodies to meet contractual obligation
- Ensure Annual Leave is coordinated and administrated according to Lion Health principles
- Ensure planning guides and associated documents are kept up to date
- Escalate issues efficiently, appropriately and professionally
- Effectively manage the nominated areas of responsibility as allocated
- Undertake any relevant training as required relating to organisational standards and changes to software or systems
- Manage own time effectively
- Develop harmonious and effective relationships across all practice teams
- Undertake effective professional development as necessary to keep up to date with current requirements of the role and in line with Practice policy.
- Lend support when required to other administrative teams (i.e. PSO team) as required
- Key areas of coordination and administration (in terms of appointments and data reporting/provision) will include:
o Contribution to and updates to data within Operational Planning documents
o Maintenance and knowledge of GPAD for Practice
o Extended Access planning and data submission
o On Call duty planning
o Contributing to Maternity cover planning
o Daily appointments dashboard
o Knowledge of and insight into Practice appointment targets and service levels
o Locum planning
o Clinical team rotas
Quality

Contribution to the Implementation of Services
- Aid the Team Leaders and Operations Managers in the roll out of It systems/processes
- Have a working knowledge, and contribute to Surgery handbooks, internal policies and procedures where relevant
- Leave the workstation area tidy and ready for incoming colleague with information on any unresolved queries.
- Be conversant with and implement the Health and Safety at Work Act, Employment Law, The Data Protection Act and other legislation relative to the role.
- Be conversant with the CQC outcomes in relation to your area(s) of work and ensure they are complied with.
- Undertake any relevant training as required relating to organisational standards and changes to software or systems.
- Develop harmonious and effective relationships across all practice teams and with patients.
- Undertake effective professional development as necessary to keep up to date with current requirements and in line with Practice policy.
- Apply Practice policies, standards and guidance.
Infection Prevention & Control
In accordance with the Health and Social Care Act 2008, the post holder will actively participate in the prevention and control of infection within the capacity of their role. The Act requires the post holder to attend infection prevention and control training on induction and at regular updates and to take responsibility for the practical application of the training in the course of their work. Infection prevention and control must be included in any personal development plan or appraisal.
