Job summary

An exciting opportunity has become available to join The Market Surgery reception team as a reception manager.

Main duties of the job

We are looking for an experienced Reception Manager to support, lead and co-ordinate the reception team whilst also working as part of the team as a medical receptionist. The successful applicant will work along side our part time Reception Manager and be actively involved in the HR management of the reception team, continuous improvement of our reception services and communication with patients, clinical team and other care providers.

About us

The Market Surgery is a busy seven doctor practice providing care to over 10,000 patients in and around Aylsham in North Norfolk.

Working from purpose-built premises, located a short walking distance from the centre of Aylsham, we aim to provide a friendly and efficient service to patients fulfilling all their primary care needs. All our consulting rooms are on the ground floor, we have a dispensary next to the reception area and we have a car park for the use of our patients.

The practice is part of North and Waveney Integrated Care Service. We are a training practice for GP Registrars and medical students.

Job description

Job responsibilities

The Reception Manager is responsible for:

a. Overseeing the reception team, ensuring staff achieve their primary responsibilities and provide an efficient service

b. Managing all reception staff, supporting development, providing guidance and direction, ensuring staff are up to date with mandatory training

c. Completing staff appraisals as required

d. Identifying and delivering team training where required

e. Compiling reception staff rotas

f. Work with the Compliance Manager to support the induction of new reception staff members

g. Work with the Compliance Manager to review and update all reception policies and procedures as required

h. Supporting the management team in the compilation of practice reports and the practice development plan

i. Developing, implementing and embedding efficient office processes and procedures to adhere to current legislation

j. Coordinating the home visits rota in conjunction with the visiting clinician

k. Coordinating in Enhanced Access reception rota

l. Providing initial guidance and advice to patients who wish to verbally complain

m. Managing relevant deliveries to the practice, ensuring adherence to the cold chain policy as necessary

n. Acting as one of the building fire marshals, ensuring evacuation lists are current and that the visitors log is used appropriately

o. Maintain and update the GSF database, including chairing regular GSF meetings

p. Oversee adult safeguarding administration

q.a. Be the carers lead for the practice

r. Ensure the smooth coordination of restocking the clinical rooms

Essential

  • GCSE English (C or above) and at least three others

Desirable

  • Educated to A-level/equivalent or higher, with relevant experience
  • AMSPAR qualification
  • NVQ Level 2 in Health and Social Care
  • Leadership and/or management qualification
