Were excited to offer two part-time opportunities for Patient Services Co-ordinators to join our reception team at Bersted Green Surgery. These roles are perfect for individuals looking to develop skills and experience in customer service and administration, while contributing to a friendly and supportive GP practice.

Role 1:

Monday: 08:00 - 13:30

Tuesday: 08:00 - 13:30

Wednesday: 09:00 - 14:00

Role 2:

Wednesday: 12:00 - 17:30

Thursday: 13:00 - 18:00

Friday: 13:00 - 18:30

Main duties of the job

As a key member of our reception team, youll be responsible for:

  • Delivering a professional and welcoming reception and administrative service

  • Answering telephone calls and handling patient queries in a polite and efficient manner

  • Greeting patients and visitors at the front desk in a calm and courteous way

  • Keeping patients informed of any delays

  • Notifying GPs of patient arrivals

  • Booking, managing and amending appointments in line with practice policy

  • Sending appointment reminders as required

  • Ensuring patient records are accurate and securely filed

  • Assisting with general administrative tasks as needed

  • Working effectively as part of a wider multidisciplinary team

Bersted Green Surgery is a friendly and forward-thinking GP practice based on the outskirts of Bognor Regis. We operate from a modern, purpose-built premises and provide care for around 13,500 patients.

Youll be working as part of a close-knit team that includes receptionists, administrators, nurses, paramedics, GPs and management. We value teamwork, respect and high-quality care, and were committed to supporting our staff with ongoing development.

Job description

Job responsibilities

The following are the core responsibilities of the Patient Services Co-ordinator. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

a. Maintain and monitor the practice appointment system

b. Process personal, telephone and e-requests for appointments

c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

d. Signpost patients to the correct service

e. Initiating contact with and responding to, requests from patients, team members and external agencies

f. Code data on the clinical IT system

g. Photocopy documentation as required

h. Data entry of new and temporary registrations and relevant patient information as required

i. Input data into patients healthcare records as necessary

j. Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administrative team

k. Manage all queries as necessary in an efficient manner

l. Carry out system searches as requested

m. Maintain a clean, tidy, effective working area at all times

n. Monitor and maintain the reception area and notice boards

o.Support all clinical staff with general tasks as requested
