Job summary

East Norfolk Medical Practice is seeking to appoint an enthusiastic and hardworking Administrator to Support our Operations team. The position involves a variety of administrative duties to assist in the smooth running of the practice.

We are offering a 20 hour per week contract. Monday to Friday.

Main duties of the job

What will you be doing if you are successful: -

Dealing with incoming and outgoing post

Supporting the processing of Subject Access Requests, including photocopying of medical records.

Providing administration support to the secretarial team

Assisting with the clinical rotas

The position will be based at our Newtown Surgery, Lawn Avenue , Great Yarmouth

A full clean driving licence is required for this position

Apart from providing core General Practice, our team is also responsible for the provision of care to the homeless population in our area. Job responsibilities

Daily opening, date stamping and distribution of post received

Support Internal Post Run across sites when required

Franking of all 1st and 2nd class letters daily and preparing for post collection.

Photocopying of medical records in line with Practice policy

Support the process of Subject Access Requests (SAR)

Maintain accurate records to comply with GDPR (General Data Protection Regulations) and regularly update SAR protocol in line with this.

Franking of medical records ready for collection by Post person and encrypting electronic copies of records for secure email to external agencies

Retrieval and delivery of medical records between Practice sites via tasks

Attend regular training sessions to maintain knowledge of SAR processes.

Scan completed requests and file as per protocol.

Photocopying documents as and when required.

Laminating as and when required.

General administration support

Retrieval of medical records as required for deducted patients.

Maintaining the registration links to ensure they are up to date.

Action all INR results to ensure regular blood monitoring tests are maintained through Lumira DX and communicate schedules directly to patients.

To support process for all patient on-line requests for access to medical records

To support patients, access to their health record on-line either through the NHS app or web portal

Processing new patient registrations via paper GMS forms

Processing new patient registrations sent through on Footfall.Action tasks as required.

Internally the postholder will be required to liaise with GPs, clinicians and wider internal staff in order to effectively discharge their responsibilities.

The postholder will be required to contact patients remotely as part of this role
