We are currently seeking a dedicated Workflow Administrator to join our team and ensure the smooth operation of administrative processes that support clinical workflows.

Main duties of the job

The Workflow Administrators are responsible for scanning all incoming correspondence into patient records accurately and promptly, maintaining organised scanning processes, and assigning industry-recognised codes in compliance with clinical coding guidelines.

They collaborate with colleagues, healthcare professionals, and doctors inside and outside of the practice to ensure data accuracy and use systems like Docman to code and file medical records, letters, and reports.

They also ensure the confidentiality and security of patient information, adhering to the Data Protection Act and Caldicott guidelines.

Key Responsibilities:Medical Record Summarising:

  • Scan and process all incoming correspondence into patients' records in a timely and accurate manner.
  • Maintain effective and organised scanning processes.
  • Assign industry-recognised codes to medical records and ensure compliance with clinical coding guidelines.
  • Collaborate with clinical staff, healthcare professionals, and doctors to ensure accuracy of patient information.
  • Code and file medical records, letters, and reports using Docman or similar systems.
  • Ensure patient information confidentiality and data security in line with the Data Protection Act and Caldicott guidelines.
  • Communicate any urgent issues or problems to the Management team promptly.
  • Perform ad hoc administrative tasks as required.
General Administration:
  • File and retrieve paperwork as necessary.
  • Scan and photocopy patient notes and other documents as needed.
  • Assist with EzyDoc and other administrative systems, especially during staff leave.
Practice Compliance:
  • Ensure the practice meets the Care Quality Commission's (CQC) essential standards of quality and safety.
  • Participate in the appraisal process and engage in professional development.
  • Comply with Health and Safety regulations and assist with the implementation of the practices Health and Safety Policy.
  • Actively promote and comply with the practices Equality and Diversity Policy.
  • Support sustainability practices and work resource-efficiently.
